Bukku allows you to manage inventory across multiple locations, making it easier to track stock movement, prevent shortages, and optimize distribution.
Whether you operate multiple warehouses, retail stores, or fulfillment centers, Bukku helps you stay on top of your stock at every location.
Setting Up Locations
Before creating a stock transfer, make sure all your stock locations are set up in Bukku. Follow the steps below:
1. Go to Control Panel > Locations, and click +New.
2. Fill in the required details:
Field | Description |
Code | Short unique code for the location (e.g., HQ001, ST001) |
Name | Name of the location (e.g., HQ Warehouse, Store – KL Eco City) |
Remark | Optional note or description for internal reference |
Address | Physical address of the location (optional) |
3. Once all details are filled in, click Save.
Setting Default, Deactivating, or Deleting a Location
On the Control Panel > Locations page, you can manage your locations beyond just creating them. This includes setting a default location, deactivating a location, or deleting it entirely.
Steps:
Go to Control Panel > Locations.
Find the location you want to manage in the list.
Click the three dots (...) beside View to see available options:
Option | Description |
Set as Default | Makes this location the default for stock transactions. |
Deactivate | Temporarily disables the location without deleting it. Useful if a warehouse or store is closed temporarily. |
Delete | Permanently removes the location from Bukku. Only use if you are sure it is no longer needed. |
💡 Tips:
Always have one location set as default for easier stock tracking.
Deactivating is safer than deleting if you might use the location again in the future.
Only delete locations that have no stock or historical transactions to prevent data inconsistencies.
Selecting Locations in Transactions
Once locations are set up, you can select them when creating transactions, such as invoices, bills, stock transfers etc. Selecting the correct location ensures your inventory records are accurate.
Example: Selling a product via Sales Invoice
Steps:
Go to Sales > Invoices > +New, as usual.
Click +Item to add products or items to the invoice.
In the Quantity column for the product, click the Location code.
Select the location where the stock will be taken from. The stock will be reduced from the selected location once the invoice is saved.
Using the Set Location Button in Transactions
A Set Location button has been added to the Invoice and Bill transaction interfaces.
This feature allows users to assign a specific location to all items directly within the transaction, making it faster and easier to manage stock across multiple warehouses or stores.
💡 Tip: Use the Set Location button when you want all items in a transaction to be sourced from the same location, rather than selecting the location for each item individually.
Monitoring Stock Across Locations
After enabling inventory tracking and setting up multiple locations, Bukku keeps an up-to-date record of stock levels per location. You can monitor inventory using Inventory Reports or directly in Products & Services.
Using Inventory Reports
Go to Reports > All Reports > Inventory Reports, and use the Location filter to view stock for a specific warehouse or store.
Inventory Summary – Overview of all products and their total stock across all locations.
Inventory Detail – Detailed breakdown of stock movements by location, tracking in-and-out transactions for each product.
Inventory Summary by Location – Gives a snapshot of your business's inventory for each location, making it easier to manage stock across different areas.
