Introduction

Bukku automatically protects your data, so you don’t have to worry about manual backups.

As a cloud-based accounting software, all your data is securely stored and backed up in real-time. This ensures your information is always safe and recoverable.

🔒 How Bukku Backs Up Your Data

Bukku uses multiple layers of automated backup to keep your data secure and protected.


🔄 Auto Real-Time Backup (Up to 6 Copies)

Every time you make a change (e.g. create an invoice or record a payment), Bukku instantly saves your data and creates backup copies.

Up to 6 recent versions of your data are stored across secure servers and data centers.

📌 Example

For example, the system stores identical data copies across multiple servers for redundancy:

  • Copy 1 → Server A

  • Copy 2 → Server B

  • Copy 3 → Server C

  • Copy 4 → Server D

  • Copy 5 → Server E

  • Copy 6 → Server F

Each server holds the same latest live data, ensuring system availability if one server fails.


🗓️ Auto Daily Backup (Up to 21 Days)

In addition to real-time backup, Bukku also keeps daily snapshots of your data.

Bukku stores these daily backups on a rolling basis for up to 21 days (including today).

This means a new full backup is created every day, while the oldest backup beyond 21 days is automatically removed. As a result, the earliest restore date will move forward daily.

📌 Example

  • On 30/06/2026, you can restore data up to 10/06/2026 (21 days before).

  • On 01/07/2026, the earliest restore date becomes 11/06/2026.

Note: The 21-day period is always calculated based on the current date (inclusive).

☁️ Security & Infrastructure

Your data is hosted on secure servers powered by Amazon AWS and Microsoft Azure, with 256-bit SSL encryption.

This ensures high-level data protection and reliable backup storage across multiple locations.

📥 Manual Backup via Data Export

Although Bukku automatically handles backups in the background, you can still download a copy of your data at any time for safekeeping or offline storage.

Navigate to:
Control Panel > Backup Data

From there, you can export the following:

Transactions

  • Sales Invoices (available for Credit Sales Invoices only)

  • Sales Credit Notes

  • Sales Payments

  • Sales Refunds

  • Purchase Bills (available for Credit Purchase Bills only)

  • Purchase Payments

General

  • Attachments

    • All uploaded files are stored in Control Panel > File Manager. Only files that are attached to transactions or settings can be exported. Files that are not linked to any record or settings cannot be included in the export.

  • Contacts

    • Can be exported by customer, supplier, or employee type, contact group, and keywords.

  • Products & Services

    • Can be exported by sales/purchase mode, product group, and keywords.

  • Chart of Accounts

    • Can be exported by category / type.

  • Database

    • A full backup of your Bukku account, including all records and settings. This file is for safekeeping purposes only and cannot be restored manually by users. If restoration is needed, the file must be sent to Bukku Support.

  • Fixed Assets

    • Can be exported by keywords.

Frequently Asked Questions (FAQ)

Q1: How do I back up my data in Bukku, and do I need to do it myself?

Bukku is a cloud-based system, so your data is automatically backed up in the background.

  • Your data is automatically backed up in real time

  • No manual backup is required

However, if you want your own offline copy, you can export your data anytime via:
Control Panel > Backup Data

You may refer there to see what data can be exported. Manual export is optional.

Note: What is the “Database” backup?

The Database backup contains a complete copy of your Bukku account, including all data and settings.

  • It can be downloaded as a full account backup for safekeeping

  • This file cannot be restored manually by users

  • If restoration is needed, you must send the file to Bukku Support for assistance

Q2: How long is my data kept?

As long as you have an active subscription, your data is kept.

You can upgrade, downgrade, or switch plans anytime, and all your existing data will remain as it is, as long as there's an active subscription.

Q3: What happens to my data if I don't subscribe or stop subscribing?

If there is no active subscription after your trial or current plan ends, your account will become read-only for 90 days. During this period, you can still log in and view your data only.

If no plan is activated or renewed within 90 days, your account and data will be deleted.

If you plan to subscribe on and off or simply want to keep your account data, we recommend using the Launch Plan, which is free and allows your account to remain active while continuing to use the Sales module. This helps ensure your data is preserved.

You can upgrade to another plan anytime when needed, and all your existing data will remain as long as there is an active subscription.

Q4: What does “Keywords” refer to in Data Export?

For certain modules, you can filter your export using keywords. Keywords refer to searchable fields within each module, allowing you to enter relevant terms to filter and export specific records.

Keywords can match the following fields:

  • Legal Name

  • Contact Person First Name / Last Name

  • Other Name

  • Registration No.

  • Remarks

  • Contact No.

  • Email Addresses

Products & Services
Keywords can match the following fields:

  • Name

  • Description

  • Remarks

Fixed Assets
Keywords can match the following fields:

  • Code

  • Name

  • Description

  • Serial Number
