⏸️ Before You Begin

Before setting up this automation, make sure the following are in place:

  • Salesforce is connected to Stadium. This automation requires an active Salesforce integration. If you haven't connected Salesforce yet, follow the steps in 🔗How to Integrate Salesforce in Your Stadium Account

  • You have admin access in Salesforce to view and manage Opportunities and their associated contacts.

  • Your Salesforce Opportunities are set up with the correct deal stages, contacts, and amounts. See the section below for a quick overview of how Opportunities work.

Understanding Salesforce Opportunities

Opportunities in Salesforce represent potential deals or sales in progress. Before configuring the automation in Stadium, it's helpful to understand how Opportunities are structured, since the automation settings map directly to fields within them.

Deal Stages

Each Opportunity moves through a series of stages as it progresses:

  • Qualify

  • Meet and Present

  • Propose

  • Negotiate

  • Closed Won

  • Closed Lost

The automation in Stadium is triggered when a deal's stage changes to the stage you specify.

Contacts

Each Opportunity can have multiple contacts associated with it. Contacts are designated as either:

  • Primary contact — the main point of contact for the deal

  • Secondary contacts — additional contacts tied to the same Opportunity

This distinction matters because Stadium gives you the option to send gifts to all contacts or only to the primary contact.

Amount

Each Opportunity has an amount field representing the deal's value. Stadium lets you set an amount threshold so that only Opportunities above a certain value trigger the automation.

⚙️ How to Start Configuring the Automation

Navigate to the Automated Gifting Page

  • Expand the Sidebar Menu (if collapsed)

    • Click on the left-facing arrow ( ˂ ) at the top-left corner of the sidebar to expand the navigation menu.
(If the menu is already expanded, you can skip this step.)

  • Navigate to the Automated Gifting Page

    • In the sidebar menu, locate and click on "Automations" to go to your automated gifting page.

  • Click CREATE NEW AUTOMATION (or the equivalent button to start a new automation).

  • Enter a name for your automation in the AUTOMATION NAME field.

  • Open the AUTOMATION TYPE dropdown and select Deal Stage.

  • Under CRM PLATFORM, select Salesforce.

Configure the Automation Conditions

Once you've selected Deal Stage and Salesforce, you'll see additional settings to define exactly when and to whom gifts are sent.

Select the Deal Stage trigger

  • Open the DEAL STAGE dropdown. You'll see all the stages available in your connected Salesforce account:

    • Qualify

    • Meet and Present

    • Propose

    • Negotiate

    • Closed Won

    • Closed Lost

  • Select the stage that should trigger the gift. For example, select Closed Won to send a gift when a deal is marked as won.

Set an Amount Threshold (optional)

  • In the AMOUNT THRESHOLD field, enter a minimum deal value in USD. The automation will only trigger for Opportunities whose amount meets or exceeds this value.

Note: The amount in Salesforce may be stored in your local currency. Stadium converts it to USD when applying the threshold. For example, if you set the threshold to $200 USD, only Opportunities worth $200 or more (after conversion) will trigger the automation.

  • Leave this field blank if you want the automation to apply to all Opportunities regardless of amount.

Choose Who Receives the Gift

  • Review the Send to Primary Contact Only toggle.

    • Disabled (default): The gift is sent to all contacts associated with the Opportunity — both primary and secondary.

    • Enabled: The gift is sent only to the primary contact of the Opportunity.

  • Click NEXT to proceed to the gift setup.

🚀 How to Set Up the Gift

There are three gift types that you can choose from;

  • Send Budget/Points: Send points or a budget for recipients to redeem.

  • Send Priceless Gifts: Choose how many items recipients can redeem from your shop.

  • Send Kits/Items: Send a curated kit/items for recipients to redeem

Here are the steps for each gift type;

Send Budget/Points

  • Choose a shop you'd like to send the gift from.

  • Enter a budget for the gift on the BUDGET PER RECIPIENT* field, then click NEXT.

Send Priceless Gifts

  • Choose an existing Priceless Shop to send the gift from.

  • Enter the number of items recipients can redeem from your shop in the ITEMS PER RECIPIENT* field, then click NEXT.

⚠️Important Note:
Priceless gifts redeemed from this shop will be automatically approved when this automation is live. You can turn it off in the order details page after the order is placed.

Send Kits/Items

  • Select an existing kit or create a new one to send to your recipients, then click on NEXT.

ᝰ🪶 Write a Message For Recipients

  • Fill in the following fields:

    • FROM — Enter the sender name and/or company name as you'd like it to appear to recipients.

    • RECIPIENT LANDING PAGE MESSAGE — Type the message your recipients will see on their gift landing page and in their invitation email. You have up to 1,500 characters.

Tip: Use the Preview panel on the right side of the page to see exactly how your message will appear. Toggle between RECIPIENT LANDING PAGE and INVITATION EMAIL to preview both views before moving on.

  • Optionally, scroll down to the Add Video Message? section to attach a personalized video to accompany your gift.

Note:

Adding a video message costs USD $4 per recipient. To include a video, email your video file and thumbnail image to hi@bystadium.com.

Video requirements: 720p or 1080p resolution, 10 minutes or less in duration.

  • Once your message is ready, click NEXT to proceed to checkout.

🛍️ Complete Checkout

  • Select a payment method from the available options in the PAYMENT section, then click CONTINUE.

  • Enter your BILLING COUNTRY* and ZIP CODE / PIN* in the BILLING section, then click CONTINUE.

  • Review your automation summary, then click Submit to finalize the setup.

Important: You will not be charged anything upfront. Payment is only processed when the automation is triggered and a gift is sent.

Your automation is now active! 🎉

🔄 How Salesforce Deal Stage Automations Work

Once your automation is active, Stadium checks Salesforce data during its scheduled sync. When an Opportunity meets your selected deal stage and any amount threshold, the automation can trigger a gift for the configured recipients.

Sync schedule

Stadium checks CRM data on a scheduled basis. After a deal stage changes in Salesforce, the gift may not be sent immediately. It will be processed when Stadium detects the qualifying change during a subsequent sync.

⚙️Note: Stadium checks CRM data twice daily, so gifts may be sent a few hours after the deal status updates.

Track gift orders

When an Opportunity meets your automation conditions:

  • Stadium creates the gift order automatically.

  • Gifts are sent according to your recipient settings.

  • You can review the order and recipient details in your Automation Dashboard.

Salesforce confirmation note

After a gift is sent, Stadium automatically adds a note to the corresponding Salesforce Opportunity. The note confirms gift details, including the recipient's name, gift amount, platform used, and date sent.

🎁 Manage Priceless Shop Order Pre-Approval

Recipients of Priceless Shop gifts are pre-approved by default when the automation is live. If you want to review a recipient's order before it is approved, you can disable pre-approval for that recipient.

  1. Go to Automations and open the Priceless Shop order you want to manage.

  2. Scroll to the Recipients section.

  3. Click NOT REDEEMED.

  4. Find the recipient whose pre-approval setting you want to change.

  5. Under the Pre-Approve column, switch the green toggle off.

  6. In the confirmation window, click REMOVE PRE-APPROVAL.

  7. Repeat these steps for any other recipients as needed.

What happens when you turn off pre-approval? That recipient's order can follow the standard approval process instead of being automatically approved.
