Who Tends to Use API Integrations?
API integrations are most common in larger organizations and those with complex training and compliance needs, such as:
Large enterprises with thousands of employees
Healthcare systems managing credentials and compliance across multiple facilities
Franchises or multi-site organizations that need consistent training data in one place
Government or education sectors that integrate with student or personnel databases
Not Sure If You Use an API?
If you’re unsure whether your organization uses an API with Carebility:
Check with your HR or IT team – They’ll know if your LMS is connected to your HR platform, payroll, or scheduling tools.
Look for signs of auto-updates – If user accounts, assignments, or terminations update in Carebility without manual input, you’re probably using an API.
Ask your Carebility admin – They can confirm your integration setup.
How API Sync Works in Carebility
When connected via API, your source system (like Dayforce, Workday, or another HRIS) sends data directly to Carebility, including:
New hires → Automatically added to Carebility and assigned relevant courses
Role changes → Update course assignments to match new positions
Terminations → Users are automatically marked inactive
Personal info (e.g., name, email) → Updated in Carebility when it changes in your HR system

A Note for Admins
Users cannot be created manually in Carebility (we know… it would make life easier).
Exception: Volunteers, since they don’t come through HR system feeds.
Timing Matters
HR platforms don’t send updates instantly. Most systems sync every few hours, so:
New users won’t appear in Carebility immediately
Changes to job roles, names, or emails may take time to show up
So if something doesn’t update right away, don’t worry — the two systems just need time to talk.
💡 Tip: Even with API sync, it’s good practice to periodically check your Carebility reports to ensure data is syncing as expected — especially after changes to your HR or payroll system.
