Removing NDIS claims items from re-appearing in claim batches and how to receipt a different amount to what was claimed vs received from PRODA. This also applies if duplicate claim items are showing in Careflo.

Explains how to remove NDIS claim items that were added in error or that have a different amount or charge band to what was intended

Any claims items that are set to "Failed" in a batch will be returned to the "NDIS Claims Items" list from the Finance -> NDIS Claim Items button. Once in that list, you can click on the claim item and remove it.

Removing the claim items means that they will not be requested from NDIS portal in the next batch file that you create.

Note that this does not update the invoice as this is a generated document which has been locked. You can however go into the Invoice Receipts section to tell Careflo the actual payment you received. After adding the invoice receipt amount (enter zero received if you are cancelling the claim altogether) and mapping against the invoice by locating the correct invoice (you can enter the participant name in the search box to make this easier. The list of invoices to map are listed by invoices raised prior to the invoice receipt date for invoices that have the same charge type (i.e. NDIS funded vs brokerage for example) as the invoice receipt. After the invoice receipt amount has been mapped against an invoice then that invoice will no longer appear as Outstanding in the invoice ledger.

We recommend that you review the participants remaining budget and reconcile back to Careflo whenever making adjustments to  ensure that the amounts are in sync with PRODA. It is good practice to do that regularly as well.

If you need to charge a different amount then you can add an Adjustment for the difference in Finance  -> Charge Fees -> Add Fee. This needs to be a positive number, i.e. you cannot claim a negative amount.
