How can I investigate when the NDIS service request remaining balance has a discrepancy between Careflo and the NDIA portal (PRODA)?

From time to time you may find that the NDIS budget balance for each support category may be different between Careflo and the PRODA portal.

How does the budget balance get updated?

Careflo will deduct the reconciled amounts from each of the claim batches and deduct it from the remaining balance.

That remaining balance can also be adjusted manually in the NDIS Request Details screen.

How can I investigate a discrepancy?

To see the history of deductions for a participant you can go to the below screen to the see NDIS Request Details. To get to the NDIS Request Details screen:

  1. Finance module -> NDIS Request Ledger -> [choose the NDIS request] -> NDIS Request Details. 

  2. You can also get to this screen via the Service User module -> NDIS Funded -> [choose the participant] -> NDIS Funding -> NDIS Requests -> [choose the NDIS request] and you will see the details.

Then in the History section of that page you can then see the deductions made against the budget.

If there's a lot of History records then you can enter a search phrase to only see adjustments or deduction, for example "deducted' to see the deductions only, or "reconciled" to see manual adjustments.

You can use the list in the History section to compare all the deduction amounts against the deductions in PRODA. If there is a difference then check the claim batch where that transaction was included and you can check how that transaction was reconciled. It should match the NDIS Results file. If it doesn't then PRODA have made a change after the transaction was made. Alternatively PRODA may have added additional transactions or made modifications without notification which causes discrepancies between the balance in Careflo vs balance in PRODA. You can again use the list of deductions in Careflo and compare to the transactions in PRODA to see any differences.

If you are not sure why PRODA have made changes then it is best to contact them directly to find out. You can click to "Reconcile" the budget balance under each NDIS Request in the same screen  which is Finance module -> NDIS Request Ledger -> NDIS Request Details. You can also get to this screen via the Service User module. Reconciling means making the remaining balance match PRODA, and should be periodically checked / completed as necessary to ensure the remaining balance is correct.
