NDIS price updates - How do I update pricing when NDIA/PRODA change their service costing/pricing?

Provides suggested options for how to update pricing, especially when the price change date is in the middle of a Finance Week

From time to time NDIA may publish updated NDIS prices which can either just update the hourly rate of an existing NDIS charge code OR it could be adding new NDIS charge codes as well.

If the rate update can be applied at your choosing then we always recommend to have them apply to the start of your scheduling/Finance week, for example if your week in Careflo starts on a Monday then you would want to always apply pricing changes from a Monday.

If there is a case when the price update is applied in the middle of the processing week then well suggest two options to consider in your next finance run.

For anything that has a new code then we suggest Charge Fees are the best way to deal with that.

Option one - updating charge bands to the new rates

  • Update your charge bands to the new rate before running your next week's financials. Careflo will then simply pick up the new rates the next time Finance is run.

  • (Optional step) Add Charge Fees to make up the difference between new rate and the old rate, assuming the new rate is higher. If you are charging participants less then this should be acceptable by Plan Managers, Self-Managed and PRODA for claiming so you don't necessarily need this step.

Option two – Creating new charge bands, new service requests and move affected visits.

  • If you are intending on charging a split week with old rates and new rates in the same week then you can create new charge bands and add them to new service requests, then move the visits in their service requests from affected date to the newly created service request (which is linked to the new charge band). This will give you two rates in the correct period of the same week (post and pre the date).
