How to Cancel Your CHIP Subscription

Thinking about leaving Chalk It Pro? No hard feelings — here's everything you need to know to cancel your subscription, grab your data, and set your gym up for a smooth transition.

Step 1: Cancel Your Subscription

  1. Go to Admin > Organization > Profile & Settings > Billing.

  2. Under Active Subscriptions, cancel all active plans.

📝 Note: Here's what happens when you cancel:

  • Any Programming subscriptions stop publishing right away.

  • Your CHIP Subscription won't bill on your next billing cycle, and all access to your gym will be removed at the end of your current billing cycle.

Step 2: Gather Your Data Before Your Gym Shuts Down

It costs you nothing to leave Chalk It Pro and take your data with you — it's yours, and you're free to do whatever you'd like with it. But once your billing cycle ends and access shuts down, you won't be able to get back in, so grab everything you need beforehand.

Before you go, be sure to download:

  • All billing reports

  • All member info and attendance reports

  • All lead data

  • All workouts and programming data

⚠️ Heads up: Once your gym is shut down, your members can still get to their own Member Info and My Dashboard by joining our free Individual gym — but you as the admin won't have access to gym-wide data anymore, so export what you need now.

⚠️ Important: Make sure all memberships are cancelled before your gym access shuts down. If you don't cancel them first, those memberships will keep running (and billing) in the background even after you're gone.

Step 3: Migrate Your Payment Processor

If you use Chalk It Pro Payments (powered by Stax):

Stax can export your payment data for you, but since it costs them to run the export, this service comes with a $750 fee billed directly by Stax (not Chalk It Pro).

To get started, ask your new software provider how they'd like to receive the data — we need one of the following from them:

  • If they want to use their own SFTP server, they'll need to send the login info, encrypted with Stax's security PGP key (found here).

  • Or, Stax can host the SFTP transfer to your new processor's PGP key instead — if you go this route, you'll need to provide that PGP key along with the IP address Stax engineers should whitelist to access the SFTP.

Once we have that info, Stax will kick off the export and we'll forward it to you to import into your new software.

If you use Stripe:

We don't have access to assist with a Stripe migration directly. If you're moving to a new software that also uses Stripe, they should be able to connect to your existing Stripe account — just ask them for the details on how to do that.
