Sending an invoice in Chariot is a straightforward process designed to make it easy for moving companies to bill clients for services, especially for larger commercial jobs or specialized deliveries. Follow the steps below to create and send an invoice to your clients.
Step 1: Navigate to the Results Tab
1. Access the Results Tab: To start, go to the Results tab within the job details. If you haven’t already created a Bill of Lading, you’ll need to add a “Result” here.
2. Add a Result: Click Add Result to open up fields for recording job-specific details:
• Input work times (hours worked),
• Specify the number of trucks and movers used, and
• Set an hourly rate if applicable.
Step 2: Add Charges to the Invoice
1. Import Charges: You can import job-related charges directly from the estimate if charges were set there.
2. Add Custom Charges: Alternatively, you can add charges individually. For example, include fees for specialized services (e.g., piano or organ moves) or additional expenses like fuel fees.
3. Review Total: Once all charges are entered, Chariot will automatically calculate the total cost at the bottom of the page, and this amount will reflect as the Total Due in the payments section.
Step 3: Generate and Preview the Invoice
1. Generate Invoice: After adding all charges, click Send Invoice.
2. Preview the Invoice (Recommended): Before sending, select View Invoice to preview what the customer will receive. Here, you’ll see:
• A breakdown of all charges,
• The Total Due at both the top and bottom of the invoice,
• A payment button at the top for the customer to easily complete their payment via card or ACH (if ACH is enabled).
Step 4: Send the Invoice to the Customer
1. Send Invoice: Return to the Send dialog in Chariot, where you can choose to send the invoice via text, email, or both.
2. Optional: Add Message or Memo: You have the option to include a custom message or a memo for the invoice before sending it out.
Step 5: Access the Invoice in Documents Tab
1. Invoice PDF: Once sent, a PDF version of the invoice will be available in the Documents tab, ensuring easy record-keeping.
Step 6: Monitor Payments in Results Tab
1. Track Payments: Once payment is received, Chariot will update the Total Due to reflect the completed transaction. You’ll also see the date and method of payment recorded here.
