Zones are the hub of the Chronotek system.  You can use Zones to group Employees and Jobs (together or separately) to properly direct the supervisory functions in Chronotek.  

We'll Cover:

Purpose of Zones

  1. Zones control the flow of communication in the system, directing alerts, voice, and Random Voice Verification messages to the right supervisors.

  2. Zones restrict data viewed by Users who have access to the Chronotek Admin site and the Chronotek app.

  3. Zones dictate the jobs your employees can clock into on the app.

Creating New Zones

Your account comes loaded with one zone, the 1000 Main Supervisory zone. All of your new employees and jobs will be added to this zone. One zone may be sufficient if you have fewer than 20 employees (unless you don't want your employees clocking in with the app and seeing all of your jobs.)

Create new zones at List Maintenance, Zones if you have more than one supervisor who manages your jobs and employees. After you add a new zone, be sure to go to your employee and job lists to put them in the appropriate zones. 

Using a Zone Filter

View reports by zone by using the zone filter. 

Step 1. Click on All Zones at the top of the screen. 

Step 2. A zone filter box appears with your list of zones in a dropdown. Choose the zone you want to view and "Apply Filter". Your screen will refresh, and your employee and job reports will only show data for the zone you chose. 

Step 3. Change your view back to "All Zones". 

Reports For More Than One Zone?

What if you want to review reports for more than one zone at a time? Good question. If you are an administrator, we have a suggestion. Go to My Account, Admin Site Users, and select your user account. Then choose "Select Zones". You will see all of your zones listed. Choose the zones you want to run a report on and then save. Be sure to come back to Admin Site Users to change back to "See All Zones" when you are done. 


An Important Note About Zone Filtering

Some reports are NOT zone filterable. This means that all time card data across all zones will show on the report. So, if you limit your supervisors to have access to certain zones, you will not want to give them access to these reports: 

  • The Payroll Snapshot reports

  • The Weekly Labor Cost Report

Assigning Visible Zone Access to Your People

Limit the jobs and employees that other users see with the visible zones option. Do this in the person's profile under List Maintenance, Employees or My Account, Admin Site Users. Also, do this for basic employees to limit the jobs they see. They will only see the jobs in the zones to which they have access. Basic employees do not see other employees.
