How to Select the Jobs Your Employees See on the App

We will explain how to use Zones to define what jobs your employees see when clocking in/out on the mobile app.

You may want to prevent your employees from seeing your entire job list when they are clocking in with the mobile app. You can.

Use Zones to Group Your Jobs

Use Zones to group jobs and define which jobs employees can see when clocking in. For example, you may have 50 jobs entered into the system, but you want each employee to only see the jobs that they work (or have the possibility to work) on the app. There are a couple of ways we can do this for you.  Both options are outlined below.

Option One for Setting Up Jobs and Zones

Create Zones based on location. For simplicity, let's say you create Zones for North, East, West, and South indicating where your jobs are located, and you try to assign jobs to employees that are close to their homes. Go to List Maintenance, Zones, and Add New Zone.

Then go to List Maintenance, Jobs and put each job in the correct Zone. 

We are well on our way. 😉 Now, let's assign Zones to employees. Go to List Maintenance, Employees. Dennis lives on the North side of town, and to keep his drive time at a minimum, you try to have him work only the jobs close to him.

Now, click on Dennis's name in the Employee List, scroll down to his Visible Zones, choose "Select Zones," check 1000 North, and Save. Now when he clocks in, he will only see the jobs in that zone. If you want to break it down a little more, check out Option Two below. 

Option Two for Setting Up Jobs and Zones

With this method, every job will have its own zone.  One job = one zone. If you have 50 jobs, you will also have 50 zones. The zone name would typically be the same as the job name in this scenario. Go to List Maintenance, Zones, and add a new zone for each job.

Next, go to List Maintenance, Jobs and put each job in its own zone, and Save. 

Final step. Go to List Maintenance, Employees, Visible Zones. Click on each employee and check the boxes for the Zones/Jobs you want each employee to see when clocking in with the app and Save.

A Contingency Plan for Employee Call-outs

There is one final issue in which we recommend having a contingency plan: when an employee calls out at the last minute, and you need to find a fill-in. The fill-in employee may not have access to that zone. A great solution is to create a zone called Floater and then create a job called Floater. Give all employees access to this zone by checking the box for it under the employee's visible zones. Your fill-in employee who doesn't have access to the specific job they are filling in for can use the Floater job. Then you can go in after the fact and edit the job to the correct one. If you can't remember the job, the GPS track we get should help jog your memory.
