Voice Messages That Your Employees Can't Ignore

Timely communication with your employees is important. In this article we explain how to use our integrated voicemail system.

"What we got here is a failure to communicate" is a great line from the movie Cool Hand Luke, but it's not a reality you want for your remote workforce. In a previous article found here, we discussed how to use our mobile app to communicate with your off-site employees. But what about your employees who call to clock in?ย 

How to Leave Voice Messages to Employees with Chronotek

With our integrated 2-way voice messaging system, a supervisor can leave voice messages to employees that they must listen to before clocking in or out. After listening to the message, employees can delete, repeat, reply, or save, but a response is required to move forward with clocking in or out. A message can be sent to an employee, all employees in a zone, or all employees in your company.ย 

It's very simple (if you can press 2 and follow the voice prompts) ๐Ÿ˜‰

Step By Step Voice Message Instructions

  1. A supervisor calls the toll-free number that employees call to clock in.

  2. Enter 6-digit access code.

  3. Press 2.

  4. Press 2 again.

  5. Choose your recipient:

    • Press 1 for an employee and enter that employee's 6-digit code.

    • Press 3 for all employees in a zone and enter the zone code.

    • Press 4 for all employees in your company (notice I omitted option 2. You will hear that option, but it doesn't work, so don't use it. I know, a curve ball).ย 

  6. State your message at the beep. You have 90 seconds to spill your guts. When finished, press any key to send the message. Be sure that you hear the operator say, "Your message has been sent".ย 

That's it.

How to Delete a Message and Start Over

But what happens if you have one of those "oh no!!!" moments and realize that you said something wrong and want to put the genie back in the bottle? In your admin account, go to Communications, Voice Messages, select the messages that you just sent and then press "Delete Selected." And breathe again.๐Ÿงž
