An Automation is a smart, time-saving workflow that performs tasks and sends communications automatically based on member activity or key business events. Instead of manually sending follow-ups, reminders, or updates, Automations handle these actions for you — consistently and at the right time.

What Are Triggers and Actions?

  • Triggers start the process — like a new lead joining your database, a member attending a class, or a payment coming due.


  • Actions are what happens next — such as sending an email or SMS, applying a tag, or assigning a follow-up task to staff.

By connecting these steps, you can build seamless experiences that guide leads through your sales pipeline, engage members throughout their journey, and ensure no opportunity slips through the cracks.



​Automations Best Practice

Use the tips below to create powerful Automations that achieve your goals.

  • Have a clear idea of what you are looking to achieve and who you are looking to include in your automation. Having a clear plan before you start will give you the most effective results.

  • Use Automations for Multi-step campaigns. Automations can be used effectively to deliver multiple steps over your chosen period of time. Add multiple actions from the action menu, and select how many days or hours between each step. Your contact is enrolled in the automation once, and then the different steps are delivered to them based on the pace that you select.

  • Use filters to ensure that your Automation is reaching your target audience. Filtering by contact type or status, membership name, number of attendances or any of our numerous other options allows you to ensure that your automation is only triggering for the contacts you intend it to trigger for. Can't find the filter you're after, or need to combine filters? It is also possible to create a report with multiple filters and then filter your automation by your report.

  • Use multiple automations to create a campaign. If your campaign includes multiple steps with different triggers, then the most efficient way to achieve this is to create multiple automations that are used in combination to achieve your desired result.

    An example of this would be for a prospect campaign. You could create one automation with the trigger Prospect added to welcome the prospect to your business. Then create a separate automation with the trigger First Class Attended to congratulate the prospect on attending a free trial class.

  • Categorise your Automations to easily keep track of automations that work together. Using multiple automations together to onboard new members, give them the category 'New Member Onboarding' to easily filter your automations for your convenience.

Your First Automations: Where to Begin for Maximum Impact

Not sure where to start? Here are our top five automations recommended to help you get time back in your day.

  • Prospect Nurturing: Create an automation with the Trigger Prospect Added. This will trigger when a prospect is added to your Clubworx account, this can happen via the Contact Us form, Free trial account, Waiver, Zapier connection or manually entered by a Clubworx user. Email or SMS your prospect to welcome them to your business and let them know the next steps they should expect.

    This is an opportunity to tell your prospect more about your business, give them the steps to book in for a trial, or send them a waiver if a waiver needs to be signed before a trial class.

    Use multiple steps to follow up and keep your new prospect interested. Use the filter for Contact> Contact Type> Prospect on each step. That way if you Prospect converts to a member they are excluded from the remaining steps of your automation.

  • New Member: Use the automation trigger Member First Activated. Reach out via email or SMS to welcome your new member and let them know about all the perks of their new membership. This is also a great time to enable and invite your member to the member app (if this is part of your subscription). Let them know how to book, and what to expect from your services.

  • Credit Card Expiry: This automation uses the Trigger Credit Card Expiry. Choose how long before the impending expiry date that you'd like to contact the member or NAC. Send a Prefilled waiver (if your contact is an adult) to make it quick and easy to update their credit card details.

  • Payment Failure: Using the automation trigger Payment Failure we recommend sending an SMS to your contact to let them know that their payment has failed and how to remedy payment.

  • Days Since last attendance: Keep on top of your at risk members by reaching out when their attendance starts to wane. Use the automation trigger Days since last attendance and select your preferred number. Eg. 14 days since last attendance. Send an email or SMS to let your member know that you're missing them.
