Use Tasks to Stay on Top of Client Follow-ups

How to create and use tasks to keep your coaching organized.

What Tasks Are For

Tasks are personal reminders tied to a specific client. Use them to keep track of things you need to do - e.g. update a meal plan, follow up after a tough week, send new recipes, or remember a client's birthday. Only you see them, not the client.

Where to Find Tasks

Go to any client's profile and click Tasks in the top-right corner (next to Chat, Notes, and Info). A side panel opens with all tasks for that client.

Creating a Task

You have two options:

  1. Quick add: at the bottom of the Tasks panel, write your task in the text field, pick a date, and click Add Task. The date defaults to tomorrow.

  2. Edit task: click into an existing task to edit the description and change the Due Date to any date you need. Click Save when done.

When Does a Task Become Overdue?

A task moves to overdue status once the due date has passed. So if a task is set to the 14th, it shows as overdue on the 15th. You can see overdue tasks in the individual client overview or in Clients --> Task overdue filter.

If you need to reschedule, just click into the task and change the due date.

Where can I see all tasks, not just overdue?

To see upcoming and other tasks across clients, use the calendar overview - tasks appear there on their due dates.

Find the calendar overview in the bottom left corner:

Using Tasks

  • Weekly recipe updates: set a reminder to swap in fresh recipes for clients. Takes 2 minutes but adds a lot of perceived value.

  • Post-check-in follow-ups: after reviewing a check-in, create a task to follow up later in the week if something needs attention.

  • Milestone reminders: birthdays, halfway points, program end dates. Small personal touches that make a big difference for client retention.

  • New client onboarding: create tasks for the first 2 weeks: e.g. "Check if onboarding form is completed", "Send welcome video", "Review first check-in".

  • Nutrition plan reviews: set a task every 2-4 weeks to review and adjust macros or meal plans based on the client's progress.
