Access & Activation
How do I invite or re-invite a client to set up their account?
How do I invite or re-invite a client to set up their account?
What is the invite link? It is a unique link you share with a client so they can set up their own account and get access to the app. Each client has their own.
Where do I find it?
Open the client's profile, click the gear icon for Client settings --> Access --> Invitation Link. Copy it there and send it to your client.
Does it expire? Yes. The expiry date is shown right under the link. If it runs out before the client uses it, generate a new one and send that instead.
Can I pause a client temporarily?
Can I pause a client temporarily?
Absolutely: go to the client's profile and click the Pause button, you can even choose a pause start and pause end date. The client keeps their data and you can choose if they should keep app access. Their payments also move with the pause, so they are not charged while paused. See Payments FAQs for how billing behaves.
Will I be charged for clients who are on pause?
Will I be charged for clients who are on pause?
Billing is based on active app access, not whether a client is actively coaching.
If a client still has access to the app during their pause period, they will count as an active client and will be included in your billing. To avoid charges, you must remove the client's app access while they are paused.
Who counts as a billable client on my Coachway subscription?
Who counts as a billable client on my Coachway subscription?
Billing is based on app access, not coaching activity. A client counts after they have had app access for more than 48 hours. Status alone (Pending / Paused / Ended) does not decide it. If they still have access, they can still count.
Your client count is worked out after each billing period, based on who actually had app access during it, so you don't pay for clients in advance. The 48 hours also means a client you add and remove again within two days is not counted.
My client says "access has ended" - what do I do?

Can I create a client without an onboarding form?
Can I create a client without an onboarding form?

How do I test the client app?

What's the difference between a 1:1 client and a Membership member?
1:1 client: a regular coaching client you follow personally, with check-ins, their own meal and workout plans, and chat.
Membership: a member who pays for access to the content you make available, like cookbooks, workout packs and articles, without you following them individually.

I messaged my client yesterday, why is she still under No contact filter?
Because No contact tracks your client's activity, not yours. Your own messages do not reset it. She will drop out of the filter once she is active again. The filter is designed to show you who has gone quiet, not who is waiting on a reply from you.
How do I remove or delete a client tag?
How do I remove or delete a client tag?
Two different actions:
Remove a tag from one client
Open the client's profile. On their tags, click the × on the tag you want to drop. That only unassigns it from that client — the tag still exists for others.
Delete a tag from your account
Go to Settings → Tags, find the tag, and delete it. You can only delete a tag that is not in use on any clients.
"Cannot delete tag that is in use"
Filter Clients by that tag and remove it from everyone who still has it. If the list looks empty but delete still fails, the tag can still be linked to previously deleted clients in the background — contact support and we'll clear it.

Currently you need to open the check-in and click Mark as read. There's no shortcut from the overview yet.
Why does my check-in appear missing, when they are not?
Why does my check-in appear missing, when they are not?
Check-ins are based on a daily, weekly or monthly cycle. If a check-in is completed before the selected day, it is registered as part of the previous week, which can make it look like it is missing from the current one.
To avoid this, either complete the check-in on or after the selected day, or adjust the check-in day to better match your routine (e.g., move it Monday to Thursday).
How do check-in comparisons work in app?
How do check-in comparisons work in app?
When your client completes a check-in, the app compares their latest measurements against their previous check-in - not their very first one.
The comparison only shows for measurements that exist in both check-ins. So if your client adds a new measurement that was not tracked before, there is nothing to compare it against yet. It will start being compared from the next check-in onwards.
Can I turn off check-ins?
Can I turn off check-ins?
Not fully, but you can space them out. Set the period to Month and the frequency to 4 or 6 under Settings → Account → Client defaults, or per client under Client settings → Forms, and the scheduled check-in effectively disappears from their week.
Can I delete or cancel one check-in for a client?
Can I delete or cancel one check-in for a client?
Not at the moment. If a new client should skip this week’s check-in, nothing breaks: it only shows as not submitted for that due date, and their next scheduled check-in still arrives as normal.

You client can alway log new and updated photos, if these are included in their check-in. There are two ways:

Not today. If circumference (or other body metrics) are part of the check-in form, clients can see what they submit. Turning weight off in metrics does not hide other body measurements on the form.
