Uploading documents for breaking and indexing

If you have clinical documents that you create or receive in paper, you can now process all these documents quickly through the system, instead of individually within your EMR to tie them to the patient record.

For instance, you can scan all your paper documents created in a day to a single PDF file, upload to the system, quickly separate into different patient files and export them all to your patient chart in a single process instead of scanning each file, one at a time. This could result in hours of time savings for you and your organization on a daily basis!

Before you begin, make sure you have either scanned or have the electronic files that you are desiring to Triage accessible in a network folder or directory from your PC.

Upload a Batch

  1. Select My Intake from the menu on the left.

  2. Select the “+” sign to the right of the Date Range Filter (calendar) icon.

  3. By default, the batch will be routed to My Intake, which means that the batch will only appear in your Intake and would be found under the “Assigned To Me” rule. You may select a Triage Rule, if appropriate.

  4. Assign a Batch Name. By default, the batch name will be “Upload” followed by the date and time of the upload, but you can change this.

  5. Drag and drop files onto the form or click in the box to browse for the desired file(s). Although you can upload almost any file format, it is recommended to utilize PDF, TIF, JPG, GIF or WORD files for better processing speed. These will all be converted to PDF upon upload. To prevent slow upload, potential loss of files or degradation in system performance, it is recommended to keep file sizes small and batch page counts to 50 pages or less.

  6. Select the Upload & Triage button for immediate processing OR select the Upload button for later processing.

  7. Proceed to the Triage Process for next steps.

If more than one file is selected for upload, an option to split the documents into multiple batches will appear. This would create a batch for each attached document.

To use this function:

  1. Mark the checkbox to split into multiple batches.

  2. Select Upload.

  3. Proceed to the Triage Process for next steps to perform Triage on each batch created.
