How to reply to the sender of a Direct message or fax

Replying to a message or fax sends a message or fax back to the sender. Therefore, the “To” address or fax number will be automatically populated. A Reply to a message of fax automatically removes any attachments, however, new attachments may be added.

To Reply, complete the following steps:

  1. Select Reply from the icon or the dropdown list.

  2. The “From” address is automatically populated if it is a reply to a message. If it is a reply to a fax, select the sending address or fax from the drop down list.

  3. The “To” address or fax number is automatically populated.  It is best practice to validate that this fax number is your intended fax destination before sending.

  4. Add your message to the Message Body. Any message body for a fax will be included as an extra page inside of your fax.

  5. Adding the Patient ID is optional. 

  6. Patient details will be automatically populated for a reply to a message. Patient details are not required for a reply to a fax.

  7. To add attachments, select the + sign to the right of Attachments or drag and drop the attachment(s) into the box below Attachments. Next complete the details for each attachment.

  8. At the top of the form, select the file format for which you wish to send your attachments. Note that all fax documents will be converted to PDF before faxing to the intended recipient.

  9. Select Send.

  10. Review the message summary screen.

  11. Optional: Enter a disclosure reason – Explanation of why the release is occurring.

  12. Select Confirm to send the message.

After replying to a message or fax, the original can be found using the “Responded” filter in your Intake and will have a label of “Replied.” From here, it can be opened and processed for print or download, and then marked as processed.
