π Permissions Overview
Courted has two user types:
Admin: Can invite users, remove users, and change permissions
User: Has standard access to Courted features but cannot manage other users
β Inviting a New User
Only admins can invite new users. Hereβs how:
Go to Settings > User Management.
Click Invite users
Enter a valid email address
Select the new userβs permission level (Admin or User)
Click Send Invite
The invited user will receive an email with a link to complete sign-up and access onboarding resources.
β οΈ New User MLS Access: New users automatically inherit the same offices and MLS access as the Admin who invited them. If that needs to be adjusted, email customer-success@courted.io.
β οΈ At seat cap? The admin will need to remove a user first, or email customer-success@courted.io to request more seats.
π οΈ Editing User Permissions
Admins can update another user's role at any time:
Navigate to the User Management section
Click the role table cell in the user's row
Change the role to Admin or User
The user will receive an in-app notification when their role is changed.
β Removing a User
Admins can remove a user at any time:
Go to Settings > User Management.
Click the kabob menu at the end of the user's row
Select Delete user
Confirm the removal
Once removed:
The user immediately loses access to Courted
Their seat becomes available
Their past notes, tasks, and interactions remain on the platform
They will no longer appear in assignment drop-downs
What Happens to Their Assigned Agents?
This is an important step that's easy to miss. When you remove a user, any agents they had assigned to them will no longer have an owner and they will be marked as Unassigned in the pipeline. Before removing the user, we recommend one of the following:
Transfer their assigned agents to another existing user
Move their agents to a new watchlist so they're not lost
Export their agent list before removal so you have a record
π‘ Offboarding checklist: Before removing a user, take a few minutes to check: Are there agents assigned to them you want to reassign? Are they collaborating on any watchlists others rely on? Do any active recruiting campaigns need to be handed off?
π Watchlists & Collaboration
Watchlists are personal by default. If a teammate adds an agent to their watchlist, you won't automatically see it in yours. Each user manages their own set of watched agents.
How do I add a collaborator to a watchlist?
Open the watchlist you want to share
Click the Share or Collaborate option (look for the people icon)
Search for and select the user you want to add
They'll now be able to view and interact with that watchlist
π‘ Collaborators on a shared watchlist can see the same agents and activity -- great for aligning on a shared recruiting target list or having a manager review a recruiter's pipeline.
π MLS Access
All users can view the MLSs enabled under their company account. New users inherit the MLS access of the Admin who invited them.
To request changes to MLS access for any user, email customer-success@courted.io. This can't be changed from within the app right now.
π¨ Common Issues & FAQs
A user says their account isn't authorized / they can't log in
A few things to check:
Make sure they were invited through Settings > User Management, not just sent a link
Confirm the email address matches exactly what was used in the invite
Have them check spam or promotions folders for the invite email
If they still can't get in, reach out to customer-success@courted.io
A user's MLS access doesn't look right
Email customer-success@courted.io with the user's name and which MLSs need to be added or removed.
I removed a user -- did I lose their notes and activity?
Nope! Removing a user does not delete their historical notes, tasks, or interaction data on agent profiles. That all stays in the platform. They just won't appear in assignment drop downs going forward.
