Introduction
Integrate with Brivo’s secure access control system to manage access across courts, doors, and restricted areas. Members are assigned a unique pin code tied to their account, granting them entry based on reservation and event times. This ensures that access is precisely timed, enhancing security and operational efficiency.
Prerequisites
Before setting up the Brivo integration, ensure that the following requirements are met:
Your organization has an active Brivo account, and you have received an API Key from Brivo. To initiate the account creation process, please contact Brivo's sales team at sales@brivo.com.
Required Disclosure
Please reach out to the CourtReserve Support team to obtain the liability waiver you will be required to review and sign in order to enable Access Control for your organization.

Note: For organizations that have not switched to the new pricing model (introduced June 1, 2024), this integration will cost $25/month.
In addition to the CourtReserve integration monthly fee, clubs will also be responsible for paying Brivo's monthly API subscription, as well as the cost of any locks required for their facility. During Brivo's onboarding process, they will connect you with a local lock dealer. Lock pricing will vary depending on the dealer.
Setting Up Brivo Integration
Enabling Brivo For Your Organization
Once the required disclosure has been sent to CourtReserve's support team, and you have received your API key from Brivo, the Brivo Integration can be enabled in CourtReserve.

To begin, navigate to Settings on the sidebar and scroll to the bottom row under Additional Features (Add-Ons). Locate the Access Control Integration feature, enable it, and click Setup. From there, select Brivo as your Access Control Provider and enter the API key you received. After entering your API key, you will be required to log into Brivo using your account's Admin ID and Password. Your Admin ID can be found in your Brivo Access Portal.
After entering your API key and logging into your Brivo account, PIN codes will be automatically generated for all members in your organization.
Creating Groups in Brivo
Groups will be created for each access point players will need access to. To create a group, go to Users > Groups in your Brivo account. After creating a group, assign the desired access point's device to the group by selecting All Devices under Device Privileges. Locate the corresponding device and set its schedule to Always Access. Follow these steps for all access points at your facility.
Discovering Groups in CourtReserve
After groups have been created, return to CourtReserve and click Discovery under the Groups tab on the Access Control Integration page.
Creating Access Control Rules for Bookings
From here, access rules will be created to control entry parameters.
Rule Type: Choose whether or not this rule's parameters should Allow, or Not Allow, Pin Code Access.
Is Rule Time Specific: Decide if this rule should only apply to specific days of the week, or specific times of the day.
Buffer Minutes - Reservation Start: Allow players to access your facility a certain amount of minutes prior to their booking.
Buffer Minutes - Reservation End: Continue to give players access to your facility a certain amount of minutes after their booking.
Court(s): Select the court(s) this rule should apply to.
Group(s): Select the group linked to the device giving access to the court(s) selected above.
Note: Use this internal note to provide any information needed for this specific rule.
After rules have been created, players will begin getting access to your facility based on the chosen parameters for all rules.
Creating Access Control Rules for Events
When creating an event, system users can define Access Control rules tailored to that event. Under the General Info > Additional Setup section, admins have the option to specify whether PIN code access should be allowed or restricted for the event.
Admins can further customize Access Control rules for individual event dates. To adjust this setting, click Edit on the desired event date, where you can configure whether PIN code access is allowed or restricted for that specific date.
Admins can set a default option for PIN code access on all future events by navigating to Settings > Event Settings > Defaults.
"Errors" Tab
If there are any errors related to this integration, system users can track these errors under the Errors tab. For more information on specific errors, please feel free to reach out to CourtReserve's Customer Success team, or Brivo's Technical Support.
Pin Code Display on Admin Panel
On the Access Control page, system users can utilize the Pin Codes tab to search for, view, and reset PIN codes for any member within the organization.
Under the Details tab on a member's account, system users can view and reset the member's PIN code.
The View Players/Registrants modal includes a Pin Code column, allowing system users to easily view the PIN codes of players associated with a reservation or event.
On the Event List, there is also a View Pin Codes button above the registrant list to view player's pin codes.
Pin Code Display on Member Portal
Players can find their Pin Code under Menu > Personal Information.
Players can also quickly view their pin code under Menu > My Bookings, My Reservations and My Events. If a member is in a family, and there is a booking for a family member, players will be able to view the pin code for the family member booked in the reservation or event.
Pin Codes can also be found on the Reservation Details and Event Details page when viewing the details of a specific booking or registration.
