INTRODUCTION
Feature Summary: CourtReserve’s team registration functionality makes it easy for both players and admins to sign up teams for partner-based events like tennis or pickleball doubles. Players can choose a partner or register with a guest (if their event settings allow), while admins can manually create or manage teams from the admin dashboard within the event details.
Use Cases:
Player-Led Registration: Players register themselves and select a teammate—ideal for open registration events.
Guest Partner Inclusion: Clubs can allow non-members to participate as guests when paired with a member who registers through the member portal. Additionally, admins have the option to register two guests together.
Admin-Controlled Registration: Admins can manually register individuals or entire teams as needed for flexibility or walk-ins.

Player Team Registration
OVERVIEW
Players registering for team-based events in CourtReserve have two partner options:
Select an Existing Player: The registering player selects a partner from the club's player database.
Register with a Guest Partner: If the event allows guest participation, players can register a guest as their partner.
Admins also have full control from the back end to register teams manually, assign partners, and process payments as needed.
Player Team Registration
In the CourtReserve Member Portal or mobile app, players can register as a team. One player will complete the registration and add their partner during the process. The following section provides a description and examples from the player’s perspective.
One player will register on behalf of the team and add their partner during the registration process. The registering player can select a partner from the list of existing members or add a guest—if guests are eligible to participate in the event based on the event's settings. It’s helpful to include this information in the event description or promotional materials so players understand how registration and payments work.
If upfront payment is required, the registering player will pay their own portion at the time of registration. Their partner will then receive an email with a link to pay their share. Note: If the partner is a guest, the registering player is responsible for paying both fees during registration.

Team up and hit the court! One player will sign up and add their partner during registration. If your partner is a member, they’ll get an email to pay their part after you sign up. Bringing a guest? No problem—just make sure to cover both spots at checkout. Let’s play!
Players can select the drop-in dates they’d like to register their team for. Available dates will display the number of remaining team spots for each event.
The player will then select their Partner Name. They can begin typing in the dropdown to search for an existing player. If guests are allowed for the event, the player can also register a guest partner at this step.
Player Payment
Players registering for team-based events in CourtReserve have two partner options, and each affects how the event is paid for:
1. Selecting an Existing Player
The registering player selects a partner from the club's player database.
Upon completing registration, both players will receive an email confirmation.
Each player (with the exception of guests) is responsible for their individual event fee. Events requiring upfront payment will collect the upfront payment of the registering player and provide the partner with a link to pay in their confirmation email.
In the example below, the event fee is $10 per player. If the registering player selects a partner from the dropdown list of existing players, they will pay $10 at the time of registration. Their partner will then receive an email prompting them to pay their own $10 fee.
2. Registering with a Guest Partner
If the event allows guest participation, players can register a guest as their partner.
In this case, the registering player is responsible for paying the guest’s fees at the time of registration.
In the example below, the event fee is $10 for a member and $15 for a guest. If the registering player selects a guest as their partner, they will be responsible for the full $25 at the time of registration—covering both their own fee and the guest’s.
Note: Players cannot register for a team event without a partner. If a player wishes to participate but doesn’t have a partner, they will need to contact their club directly.
Club admins have full control from the backend to:
Manually register teams
Assign partners
Create a team and add a partner later
Process payments as needed
Admin Team Registration: From the Scheduler
Admins can register and manage teams directly from the Scheduler by clicking the registrant spots link on the event. This method registers a team for that specific event occurrence only.
Drop-In Team Registration Page
After clicking Register, the Drop-In Team Registration page will appear.
Send Registration Confirmation to Player(s): Leave this box checked to automatically email a registration confirmation to the selected players.
Note: Guest players will not receive email notifications but can be included in other admin-initiated notifications such as Email Players.Search for Player: Begin typing the player's name to select from existing players/members, or use Create New Player to add someone new.
Adding Players to a Team
Add two players to form a complete team.
You can also add one player now and return later to add a partner. Click Add Partner to complete the pairing.
Click Save to complete the registration, or Save and Pay to be taken directly to the Transactions tab, where system users can process the payment if desired.
Once a team is saved, the players are linked together and will appear grouped in the team-based event registration list. Here is an example of a full event:
Note: If a player is ineligible due to restrictions (e.g. ineligible rating), CourtReserve will display an alert. Admins have the ability to override these restrictions and complete the registration if necessary.
Admin Team Registration: From the Event List
Admins can register and manage teams directly from the Event List. This method allows for registering a team for one or multiple event occurrences.
On the Event List, any Team event will have an icon as follows:
When looking at the event dates, the tab shows Teams.
System admins can register teams for individual team event occurrences or click the Register Players button at the top right of the event to register a team for one or multiple events in the series.
After clicking Register Players, the Team Registration page appears. From here, you again can choose to Send Registration Confirmation to Player(s) and Search for Players to create a team of two.
Reminders:
Guest players will not receive email notifications but can be included in other admin-initiated notifications such as Notify Players within a Scheduler or an event.
On the Team Registration screen—when accessed by clicking Register Players from the top level of the event—system users can choose to register teammates for one or multiple event occurrences. After selecting players for the team, under Select Dates, choose one or all occurrences for registration.
Click Save to complete the registration, or Save and Pay to be taken directly to the Transactions tab, where system users can process the payment if desired.
Cancelling a Team-Based Registration
Cancelling an Individual from a Team
If one player cancels their registration, it does not cancel the entire team. Each player must cancel their spot in the event individually.
When one player cancels an event from their registered team:
The team is no longer considered complete.
The remaining player stays registered, but the admin may:
Manually add a new partner to complete the team, or
Withdraw the team entirely, depending on their policy.
If a waitlist is active, the admin could fill the empty spot from available players.
Players will see the following information:
When a partner withdraws, the remaining registered player will receive a notification prompting them to Select a New Partner.

Admins should monitor team events in relation to their cancellation windows to ensure all partnerships are properly in place.
Cancelling Both Players in a Team
When both players in a team need to be canceled, this has to be done by each individual in a team or by the event admin. When this occurs, one full team spot becomes available. If Auto Register from Waitlist is enabled, the next team on the waitlist will automatically be added.
When an admin cancels a registrant, a confirmation prompt appears with the option to send an email notification to the player.
FAQs
Q: Can a pre-existing event be converted to a team event?
A: No. Once an event has any registrants—past or future—it cannot be converted into a team-based event.
Q: When I check in a player, does it check in the entire team?
A: No. Checking in a player through CourtReserve only checks in that individual—not their partner or team.
Q: If I assign a court, is it assigned to the player or the team?
A: The court assignment applies to the entire team, not just the individual player.
Q: What if I want a family member to be my partner?
A: The registering player can select their family member as their partner during registration. They will complete the registration and pay for both themselves and their family member at that time.
Q: What happens if a player is already registered and someone tries to add them again?
A: CourtReserve will prevent duplicate registration. If a player is already registered, their name will be unselectable and marked as “Registered” to indicate they cannot be added again.
