Partner-based Event Registration Explained

INTRODUCTION

Feature Summary: CourtReserve allows players to register with a partner for team-based events. This is ideal for sports like pickleball or tennis doubles, where players compete as a team.

Frequently Asked Questions

Can players sign-up with a partner at the time of registration?

  • Yes! When an event is set up as a team-based event in CourtReserve, one player registers on behalf of the team and adds their partner during the process.

  • The partner can be an existing member or a guest (depending on what your club allows for guest participation in the event).


How does payment work for team events?

  • If the partner is a member:
    The registering player pays their own portion at sign-up if up-front payment is required. The partner receives an email to pay their share separately.

  • If the partner is a guest:
    The registering player pays for both themselves and the guest partner during registration if up-front payment is required.


Can players register without a partner?

When a player is signing up through the CourtReserve Player Center for a team-based event, both teammates must be entered during registration. If a player doesn’t have a partner, they’ll need to contact the club directly.

Admins, however, can register a player to a team without a partner using the CourtReserve admin panel.


Can guests be added as a partner?

Yes, if the event allows guest participation. Guests do not need a CourtReserve account, but the registering player is responsible for paying their fee upfront.


What happens if a player withdraws?

  • If one player withdraws, the team is incomplete. The remaining player can:

    • Find a new partner, or

    • Withdraw/cancel their registration, or

    • Be withdrawn entirely by an admin

  • If both players withdraw, the full team spot opens up. If a waitlist is active and auto-register is enabled, the next team on the list is automatically added (even if the next team only has one player confirmed).


How do waitlists work for team events?

If enabled, the next team in line can join the event. When a team spot opens:

  • The entire team is automatically registered (even if only one player is confirmed) if auto-register is enabled.

  • Without auto-register, admins manually manage the waitlist.


Are there rating restrictions for team events?

Yes, clubs can set rating restrictions for team events using Custom Ratings or DUPR integration (if DUPR is enabled).

Options for Applying Rating Restrictions:

  • All Players Registering: Both players' ratings are checked.

  • Only the Registering Player: Only the registering player's rating is checked (except DUPR Max, which always applies to both players if DUPR rating is used).

Note: Custom Ratings do not apply to guests, but if DUPR validation is enabled and you're validating all players, guests' DUPR information must also meet the requirements.

What if my partner doesn’t meet the registration requirements?

The system will block the registration if the set restrictions are not met, and the player will be shown a message explaining why. Admins can still override these restrictions when manually registering teams.


Can admins register or manage teams?

Yes. Admins can:

  • Manually register teams through the Scheduler or Event List.

  • Add or replace partners.

  • Override restrictions if necessary.

  • Process payments from the admin panel.


Can an existing event be converted to a team event?

No. Once an event has registrants (past or future), it cannot be converted to a team event.


Does checking in one player check in the entire team?

No. Check-ins are individual. Each player must be checked in separately.


Are court assignments applied to the player or the team?

Court assignments apply to the entire team, not just an individual player.


Can family members be partners?

Yes. Family members can be selected as partners during registration if they meet the event requirements.


What happens if someone tries to add a player already registered?

The system prevents duplicate registration. That player will be displayed as "Registered" and cannot be selected again.
