How to Set Up a New Family Group in CourtReserve

INTRODUCTION

Feature Summary: Create a new Family group.

Use Cases: System users can create a Family group to link a primary family member with children, a spouse, and other adults. This setup allows families to optionally take advantage of a club’s family membership offerings and/or manage their accounts collectively as a family unit.


PREREQUISITES

If desired, create a Family membership type to assign to a family.​


SETUP REQUIREMENTS

  1. Log in to the admin dashboard.

  2. Go to the side menu and click MEMBERS > FAMILIES. A new page displays.

  3. On the new page, click CREATE FAMILY.


Create a Family

Fill in the form and then click Save changes.

  • Family Name - Usually, enter the last name of the family.

  • Family ID - Enter an ID number. CourtReserve auto-generates an ID if the field is blank.

  • Family Membership - Click the field and select a family membership type. Note: If you are adding members to a family without assigning a Family Membership, leave this field blank.

  • Click Save Changes.


Manage a Family

After the system user creates and saves a new family, CourtReserve adds a row to the Families table and displays tabs below the table. Use the tabs to review, manage, and update family information and settings.

Details

Shows the Family Name and Family ID. System users can update both fields.

Family Members

Shows the club members assigned to this family. System users can add individuals to the family from here by clicking Add New Family Member.

Membership

Shows the family membership plan (if one is assigned), plan details, and billing cycle. System users can use the Assign Membership button to assign a family membership from here, if desired.

Reservations

Shows reservations for all family members (upcoming, past, cancelled, and waitlisted).

Events

Shows all event registrations for the family members (current, past, cancelled, and waitlisted).

Billing Info

Shows billing information for the family.

Waivers / Agreements

If this feature is enabled, signed waivers and agreements for family members will display.

Notes

Shows notes created by system users for family members. These notes stay on the admin side and are not shared with club members or displayed on the member portal. a new note for a family member can be added here too.

Attendance Tracker

If this feature is enabled, attendance check-ins for family members will display. Click Add Attendance to add a new check-in for a family member.


USER PERSPECTIVE

Here, the primary family member can manage all linked family members through the My Family page in the member portal or mobile app.
