Setting Up Membership Price

Set Prices, Payment Terms, and Initiation Fees

INTRODUCTION

Feature Summary: Configure the Membership Price tab settings of a membership type.

Use Cases: System users create new membership types or edit information for existing ones.


PREREQUISITES

Create a membership type.


SETUP REQUIREMENTS

  1. Log in to the admin dashboard.

  2. Go to the side menu and click MEMBERSHIPS. A new page displays.

  3. Click the Individual or Family tab.

  4. Select a membership type.

  5. Click the Membership Price tab.


Fill in the Fields

  • Requires Fee? - Check this box to display the fee and payment fields. The default setting is not checked.

  • X Days Past Due To Expire Account - Create a grace period for late payments. Auto-cancel the membership if a payment is X days late. Expired status appears when a membership is past due. An expired membership can return to active status once the member pays their membership dues.

  • X Days Past Due to Auto-Cancel Membership - Update player's membership from "Expired" to "Canceled" if membership is X days past due. If enabled, an additional setting is also available to update the membership to a new category. Recommended: Update to to a FREE/Guest membership level if still wanting to give player access to the Member Portal when their membership is canceled.

  • Charge an Initiation Fee? - This field adds a one-time payment when a member purchases this membership (e.g. charge a one-time fee to new members).

  • X Days Before Payment Date to Generate Next Billing Cycle - Send an invoice X number of days for the start of the next billing cycle.

  • Frequency - To enable regular payments over time, check a box and enter the charge. Choose a default frequency (e.g. monthly, quarterly), a one-time price (see below), or create a custom period.

    • Use the One Time Price feature to give members an alternative: make regular payments (e.g. monthly) during the membership period or pay once in full. Incentivize one-time payments by offering a discount (e.g. pay for 11 months and get one month free).

  • Tax Rate – The percentage of tax applied to membership fees.

  • Revenue Category – The accounting category used to track and report membership revenue.

  • Expire Membership After X Days - This optional feature automatically cancels a membership after the set number of days. It is often used for time-limited memberships, such as a free 14-day trial.

  • Prorate Membership on Member Portal - If the club wants to receive all payments on the same billing cycle, enable this feature to pro-rate the member's first payment. This field displays if the system user selects the weekly, monthly, or quarterly option.


ADMIN PERSPECTIVE

The Memberships page displays icons if a system user enables specific settings. The screenshot below shows two icons to indicate the membership type has an age restriction and a pro-rated fee (i.e. all payments are made on the same billing cycle).
