Customize the Sign-Up Form for Online Player Account Creation

INTRODUCTION

Feature Summary: Set up a customizable form for players to create an account.

Use Cases: Admins can tailor the form by adding custom fields and questions to collect the information most relevant to their organization.


SETUP REQUIREMENTS

The Sign-Up Form is shown when new players join your club—it appears during the registration process, just before they submit their form.

To access and customize the form:

  1. Go to the side menu and click SETTINGS.

  2. Scroll down to the PORTAL SETTINGS section.

  3. Click Sign-Up Form to view and edit the default form.

From this screen, you can build and customize your form. The Required Fields section is fixed and cannot be edited—every sign-up form must collect the player's name and email address. However, admins can personalize the Instructions block to provide custom messaging or guidance for new members.


Add and customize any messages under Instructions.


Optional Fields

Use the checkboxes to enable or disable optional form fields. Check the fields you want to include on the form, and select the ones you want to make required for players to complete.

Below are two important fields to be aware of:

1. Require Payment Profile: Check to require players to create a payment profile—including a credit card or ACH number—during sign-up.

2. Membership Visibility on Sign-Up: This setting controls how memberships are presented to Players during the sign-up process in CourtReserve.

Visibility Options:

  • Required: Players must select a membership during sign-up.

    • Example: A private club requires all new players to join a Full Access Membership to access booking features.

    • Best Practice: When using the required membership option, ensure the available memberships are clearly explained and easy to understand during sign-up. This prevents confusion and helps players select the best option quickly.

  • Optional: Players may choose to join a membership, but it is not required to complete the registration process.

    • Example: A community facility allows players to register without a membership, but offers an Unlimited Play Membership for discounted reservations.

    • Best Practice: When offering optional memberships, we recommend setting a default membership for new players. This ensures players aren’t left without a membership assigned when they register, helping maintain smooth access to your facility and programs. You can set a default membership by selecting the "Make This Membership Default For Members" checkbox when creating a membership in CourtReserve.

  • Hidden: When memberships are set to Hidden, players do not see membership options during sign-up. Instead, memberships must be manually assigned by an admin later — or a membership can be automatically assigned to all players by setting a default membership.

    • Example: A junior program assigns memberships based on a player’s age or skill level, so membership selection is handled entirely by staff.

    • Best Practice: Even when memberships are hidden, we recommend assigning a default membership in the background. This ensures every player is automatically assigned a membership when they join, preventing gaps in access to your facility.


Create Custom Fields

Custom fields allow you to tailor the player sign-up form by collecting additional information that's important to your club—such as referral sources or emergency contact information. They are optional.

Click the Add New Custom Field button. Fill in the fields and click Save changes. Optionally, check the box to make this a required field.

  1. Field Type:

    1. Text Box: A single-line text input field for short answers.

    1. Text Area: A multi-line text input field for longer responses.

    2. Dropdown: A list of preset options you define for the player to choose from.

  2. Label: The question or prompt displayed to the player.

  3. Is Required: When checked, the player must complete the field before submitting the form.

  4. Show on Member Portal: Displays the field on the player's account after sign-up.

  5. Allow Members to Update Custom Field: Lets players edit this field later from their account settings.

  6. Show on Admin Side: Makes the field visible to admins when viewing or editing member profiles.

  7. Display on Members Grid: Adds the custom field as a visible column in the admin member list view.

  8. Is Enabled: Activates the field so it appears on the form. Uncheck this to temporarily disable it without deleting.

Additional Settings

Redirect to URL: Once a player submits the registration form, they are redirected to the URL you enter in this field (optional).


Previewing the Form

Click the Preview button. Scroll through the form and review the fields. Make changes as needed.
