Introduction
Once GoTab transactions have been processed to a member's account in CourtReserve, details of the transaction are available for review in the member's account, the organization’s transaction list, and through reporting features. This guide will help you navigate and manage GoTab transactions within CourtReserve.
Transaction Details
GoTab transaction information can be accessed in two primary locations:
Member's Account: View the transaction details directly in the member’s account under the Transaction List.
Transaction List: GoTab fees process to two types of Misc. Fees
Misc. Fee: GoTab Balance- This is the Food & Beverage purchase total of the GoTab transaction
Misc. Fee: GoTab Tip- Tips processed to GoTab will display as their own line item so it can be accounted for separately.
To review the details of a GoTab transaction:
Open the Misc. Fee entry and click the date link. This will display the full Transaction Details for that specific GoTab transaction.
When reviewing transaction details in CourtReserve, you will find an itemized list of the purchase details, including:
Item Name
Quantity
Item Price
Total Price for each item
Additional Information:
Sales Tax: If Sales Tax was applied to any item, the total tax will display in its own line item at the bottom of the item list.
The note section will automatically display as "GoTab Balance".
If the payment was processed using an integrated payment provider, the Payment Provider transaction ID will also be listed.
The GoTab Transaction ID is available for reference, with a direct link to open the transaction in your GoTab portal for further review or adjustments if necessary.
Refunding GoTab Payments
GoTab transaction refunds must be processed through GoTab’s system. Refunds can’t be directly issued in CourtReserve, but once processed in GoTab, the refund information is automatically updated in CourtReserve.
To refund a GoTab payment:
Access the refund window for the relevant payment in CourtReserve.
Click the View GoTab button to open the transaction in your GoTab Admin portal.
Follow the steps in GoTab to complete the refund.
Once completed, the refund details will be sent back to CourtReserve.
Refunds will be applied as Account Credit to the member’s account.
UNPAID refunds from GoTab will post to CourtReserve as a VOID.
GoTab Reporting in CourtReserve
GoTab provides a comprehensive suite of reports via their Admin Dashboard, while CourtReserve tracks associated fees and payments when Revenue Categories are configured in the GoTab settings. This integration allows for streamlined reporting of both purchases, tips, and sales tax.
Sales Summary
In CourtReserve, the Sales Summary report includes an option to include or exclude Tips when the GoTab integration is enabled. This flexibility allows you to generate sales reports based on your organization’s preference for tracking tips.
Sales Tax Report
CourtReserve consolidates all Sales Tax collected from GoTab transactions into a single Sales Tax column called "Standard Tax (From GoTab)". If your organization uses multiple tax rates in GoTab, detailed, itemized reports for each tax rate can be accessed in the GoTab Admin Dashboard.
