How to change Interaction Types, Programs, Pages, and Questions.

Because editing any of the elements of a Program can affect your Interaction reporting, there are a few rules around these actions. Use the guide below when you would like to make any changes to your Interaction Types, Programs, Pages, or Questions.

Editing & Deleting Interaction Types

Editing Interaction Types:

You can easily edit an Interaction Type by visiting Interaction Types, finding the Interaction Type you would like to edit, then clicking the Pencil icon.

Alternatively, you can click the Eye icon and click Edit next to the Interaction Type’s name.

On the next screen, you can edit the name of the Interaction Type and/or change whether the Programs within that Interaction Type are location required or not.

Deleting Interaction Types:

You cannot delete an Interaction Type with corresponding Programs that have been completed since this would affect historical reporting. However, if the Interaction Type has no Programs under it, or Programs that have not been completed yet, you can delete the Interaction Type. **It is important to note that any Program under that Interaction Type will also be deleted.**

You can delete an Interaction Type by visiting Interaction Types, finding the Interaction Type you would like to delete, then clicking the X icon.

You will be asked to confirm you want to delete the Interaction Type.

Once confirmed, you will receive a green notification if the Interaction Type was successfully deleted, or a red notification if the Interaction Type could not be deleted.

Editing & Deleting Programs

Editing Programs:

Similar to Interaction Types, you can easily edit a Program by visiting Programs, finding the Program you would like to edit, then clicking the Pencil icon. Alternatively, you can click the Eye icon and click Edit next to the Program’s name.

Here you can edit the name of the Program, Dates, Status and if the Program is restricted to Assigned Reps or Open to Franchises. If the Program has not been completed within the Visit App yet, you can also change the Interaction Type.

Deleting Programs:

Similar to Interaction Types, you cannot delete a Program that has already been completed since this would affect historical reporting. However, if the Program has not been completed yet, you can delete the Program. **It is important to note that any Page within that Program will also be deleted.**

You can delete a Program by visiting Programs, finding the Program you would like to delete, then clicking the X icon. You will be asked to confirm you want to delete the Program. Once confirmed, you will receive a green notification if the Program was successfully deleted, or a red notification if the Program could not be deleted.

Editing & Deleting Pages

Editing Pages:

You can easily edit a Page by visiting Programs, finding the Program you would like to edit a page within, and clicking the Eye icon. Within the Program page, you will see the Program’s pages listed at the bottom.

Find the page you want to edit and click the Pencil icon to the right.

Alternatively, you can click the Eye icon, then click Edit next to the Page’s name.

On the next screen, you can edit the name of the Page, or move it to another Program. On the following page, you can edit any of the questions within the page.

Deleting Pages:

You cannot delete a Page within a Program that has already been completed since this would affect historical reporting. However, if the Program that contains the Page has not been completed yet, you can delete the Page.

You can delete a Page by visiting Programs, finding the Program where you would like to delete the Page, then clicking the X icon to the right of the Page. You will be asked to confirm you want to delete the Page.

Once confirmed, you will receive a green notification if the Page was successfully deleted, or a red notification if the Page could not be deleted.

Editing, Deleting, and Archiving Questions

Since questions can span across multiple Programs with Encompass, there are some specific rules around managing them.

Editing Questions:

You can edit a Question by visiting Questions, finding the Question you would like to edit, and clicking the Pencil icon. **Please note that if a question is part of a template program, you may not be able to edit it.**

Here you can edit the Question text or associate it with a Parent question. **Please note that if you edit the text of a Question, this will affect the historical reporting on that Question.

If you would like to edit the options within a Question, click the Eye icon. Here you will see all options within the Question and can Add or Remove options. Note that removing options will not affect historical reporting for the Question.

Deleting and Archiving Questions

Questions follow the same rules as many other elements within Programs. If a Question has been answered in a Program, it cannot be deleted. If it has not yet been answered within a Program, it can be deleted.

Since all questions exist within one list, there is an additional option to Archive questions so you can keep your Questions list as short as possible. The Archive option can be used for any Question that has been answered within a Program, but does not need to be used in any future Programs.

Deleting a Question:

You can delete a Question by visiting Questions, finding the Question you would like to delete, then clicking the X icon to the right of the Question. You will be asked to confirm you want to delete the Question. Once confirmed, you will receive a green notification if the Question was successfully deleted, or a red notification if the Question could not be deleted.

Archiving & Restoring a Question:

You can archive a Question by visiting Questions, finding the Question you would like to archive, then clicking the File icon to the right of the Question. **Note you may not be able to archive questions that are part of a template.**

You will be asked to confirm you want to archive the Question. Once confirmed, you will receive a green notification if the Question was successfully archived.

You can restore a question by clicking on Archived Questions on the Questions Page, and clicking the File icon to the right of the Question you would like to restore to your Questions list.

You will be asked to confirm you want to restore the question, and will receive a green confirmation banner when the question has been restored.
