How to Export the Ledger for Your Accounting Software

At the end of each period, the figures from the CRO Billing Ledger need to be posted to your accounting software — QuickBooks, Sage, Xero, or whichever system your company uses — as a journal entry. CRO Billing gives you two export options to support this: a PDF for review and filing, and a CSV formatted for journal entry import. This guide covers both.

If you have not yet reviewed the period summary and confirmed the Discrepancy line is zero, do that before exporting. See How to Review the Period Summary.


Before You Export

⚠️ Warning: Only export and post to your accounting software after the period summary has been reviewed and the Discrepancy line confirms as zero. Exporting and posting before the period is fully reconciled will carry any unresolved differences into your GL.


Steps

1. Go to Ledger. Click Ledger in the left sidebar.

2. Open the Export options. Click the Export icon in the top-right corner of the Journal Summary panel header. A small modal opens with two options.

3. Choose your export format.

Option A: Print PDF: Click Print PDF. Your browser's print dialog opens. The PDF includes the full Journal Summary with all line items, current-period figures, and prior-period comparison. Use this to:

  • Keep a copy of the period summary for your records

  • Share the summary with your accountant or controller for review

  • Attach to your month-end close documentation or audit package

Print to your printer or save as a PDF file using your browser's "Save as PDF" option in the print dialog.

Option B: Export CSV: Click Export CSV. A CSV file downloads to your computer. The file contains the period summary figures formatted as journal entry rows — each line item from the Ledger becomes a debit or credit line with the corresponding account information.

Use the CSV to import the journal entry into your accounting software. Most accounting systems that support journal entry import accept a standard CSV format. The import process varies by software:

  • QuickBooks Online: Go to Accountant → Journal Entries → Import, and upload the CSV file

  • Sage: Go to Nominal Ledger → Journal Entry → Import

  • Xero: Go to Accounting → Manual Journals → Import

💡 Note: For the CSV import to work correctly in your accounting software, the account names in the export need to match the account names in your chart of accounts exactly. If your import returns errors about unrecognized accounts, contact your administrator to review the GL account mapping settings in CRO Billing.


After Exporting

If you used Print PDF: File the PDF with your period-end documentation. No further steps are required in CRO Billing.

If you used Export CSV: After importing the CSV into your accounting software, verify that the journal entry posted correctly by checking that your AR account balance in the accounting software matches the New Balance shown on the CRO Billing Ledger. If the figures do not match after posting, do not post again — contact your accountant to review the import before making any additional entries.

💡 Note: Exporting from CRO Billing does not automatically post anything to your accounting software. The export creates the file; importing it into your accounting software is a separate step you control. Nothing is sent or connected automatically.


Keeping a Record

Regardless of which format you use, keep a copy of the period summary for each month. A PDF filed by period date is the simplest approach and gives you a clear reference point if a question arises during an audit or at year-end.
