Pre-Event Promotion: Promote across multiple touchpoints to maximize awareness and participation. Create physical materials like rip pads or cards featuring the QR code and instructions, branded with your team and sponsor logo. Distribute these at section entrances. Extend this promotion to know-before-you-go emails, video board graphics, and PA announcements. Many teams create a branded name for their Light Show (like 'Arsenal Lights') to help fans anticipate it as a recurring tradition. This multi-channel approach maximizes participation and provides significant sponsor exposure.
In-Game Promotion: When it's time for the Light Show, display a countdown timer on the video board with a QR code alongside it. Announce: 'It's time for the Light Show — scan in now!' As the countdown progresses (e.g., from 60 seconds), fans have adequate time to scan the QR code and prepare their phones. In your promotional messaging, include a clear prompt about accepting permissions, such as 'Scan the QR code, accept permissions, and get ready to light it up!' This sets expectations and helps fans understand they'll need to tap 'Allow' when prompted for camera access (used for flashlight control). This guidance is especially helpful for fans with varying technological comfort levels.
Game-Day Execution: Ensure only one person has the Light Show admin open, as multiple logins can cause issues. Have the operator refresh the admin page in Google Chrome (the preferred browser), navigate to the correct instance (e.g., Women's Hockey or Men's Hockey), and verify Global Sync is toggled on in settings. The Light Show operator should ideally be the same person running the intro video countdown so they can synchronize timing — clicking Play on the Light Show at the exact moment the countdown reaches zero and the intro video begins.
