Introduction

Purchase requests are used to control the purchasing process with approvals to keep track of what’s being purchased, assign spend to cost codes, and keep within budget. They're an important tool for companies big and small, as they serve as a check and balance on the items which are being bought on projects and jobs, and gives a project manager or financial controller oversight as to what their teams are spending on.

Best Practices

  • Setup your purchase request template as a workflow to standardise the approval process. We recommend including an 'approved/closed' column as the last column in the workflow to clearly indicate items which do not require further action.

  • Setup workflow notifications to notify the right person for sign-off at each step

  • Include a text field (set to be single line) for the purchase item description. Then in the template settings, set the form thumbnail to display this field to make it easy to know which form relates to which item.
