Learn how to streamline your sign-on processes with the 'Scan Sitemate ID' field

This article explains how you can setup a contactless sign on process for site documentation using both the Dashpivot app and the Sitemate app together. Common use cases include pre-starts, toolbox talks, permits, sign in sheets and method statements (SWMS, RAMS).

For site processes that typically involve a large volume of people physically needing to touch the same document to sign something (whether it be on paper or a tablet), the Scan Sitemate ID field will allow your teams to streamline the way they record signatures from site personnel, ensuring site attendance records are accurate and reliable.

Setting up a digital ID card for workers:

To setup this process, field personnel need to create a Sitemate ID card via either of the app stores. The Sitemate app is a separate app to Dashpivot. You can find it on the Apple and Google app stores:

The Sitemate app is free to download and free to setup a digital ID card. The setup takes about 1 minute, and only requires a phone number (no email or password required).

Important Notes:

  • The Scan Sitemate ID feature is only available in version 20.3 and later of Dashpivot app, and requires each person in your workforce to setup a Sitemate profile via the Sitemate app.

  • The Dashpivot app requires a device with a 4 Megapixel camera (minimum), in order to scan a QR code.

How to configure a scan in & scan out process

If you plan on capturing the times people arrive and leave an area/office/site, this video shows you how to setup your template, and runs through an example of scanning in/out in the Dashpivot app.

How to use the front camera for scanning Sitemate digital IDs

If you plan on mounting a tablet to the wall or desk so visitors and workers can scan themselves in/out, the front camera may be blocked/unusable. This video will show you how to use the device front 'selfie' camera, to make scanning easier. And remember to make sure your tablet is on charge so it doesn't run out of battery!

How to implement:

  1. Add a 'Scan Sitemate ID' field to one of your form templates eg. Prestart

  2. Instruct each person in your workforce to download the Sitemate app, and setup a profile (takes about 1 minute)

  3. Supervisors and engineers can then use the Dashpivot app to scan the QR code on your workers Sitemate app ID profile

To assist with your implementation, we recommend printing a few copies of our instruction poster, to stick on the walls of your office or site. This will act as a prompt and reminder for all workers and visitors once they arrive.
