Learn how to use Sitemate Links to run your inductions process

Single Submission Sitemate Links can provide anyone with access to submit a single form for one or more templates, via the Sitemate app without needing a Dashpivot account.

This works really well for processes like inductions, where all personnel working on a site need to be inducted. Using Sitemate Links, you can enable hundreds of people to complete their induction paperwork electronically via the free Sitemate app, and submit their information into your Dashpivot account.

They can even fill out the induction form BEFORE they arrive at your site, to save time. Alternatively, you could stick the QR poster on the wall, which allows anyone to submit an induction once they scan it with their phone (more on this below).

You'll end up with a comprehensive induction register in Dashpivot, with all inductee records organised and easy to search/filter, so that details can be found quickly when needed.

In this scenario, none of the inductees are paid Dashpivot users and do not have access to Dashpivot. Instead, they will use the free Sitemate app to submit inductions for free.

How to create a Single Submission Sitemate Link for Inductions

  1. Go to the team folder where you want your induction records to be submitted

  2. Go to the Templates section

  3. Go to the Links tab

  4. Make sure you are in the 'Single Submission' section (this should be the default). If you are in the 'Ongoing Submission' section and create a link, every person who submits an induction will become a paid Sitemate Form User

  5. Click Create Link

  6. Give your link a name, and select your Induction Template

  7. Click create

Note: if you don't have an induction template yet, you can use a free induction template available in the Public Template Library.

Once created, all you need to do is distribute the Sitemate Link to the relevant personnel, so they can fill out and submit an induction.

How do I get workers to submit the Induction?

You'll need to send your newly created link to the relevant people so they can start submitting inductions. There's 2 options:

  • Copy the link and send it as a URL eg. via email or text message.

  • Downloaded a QR code poster, which opens the link when scanned with a smartphone. Stick this on the wall of your site or office.

Don't worry if you don't know exactly who to send the link to - the link can be forwarded or shared, and it will still work for whoever receives it.
