Learn how to use Sitemate Links to run your Timesheet submission process with your workforce

Ongoing Submission Sitemate Links can provide anyone with access to submit multiple forms for one or more templates, via the Sitemate app without needing a Dashpivot account.

This works really well for processes like Timesheets, enabling your entire workforce to complete their timesheets electronically via the free Sitemate app, and submit their information into your Dashpivot account.

If your timesheet template is setup as a workflow, you can set it up notify someone at your company who has Dashpivot account once the timesheet is submitted (eg. Supervisor or Payroll Admin), using the workflow notifications feature.

You'll end up with a detailed register in Dashpivot of all timesheet reports, automatically organised and easy to search/filter, so that details can be found and processed quickly, or retrieved when needed.

Please note: while the Sitemate app is free to download and install, setting up an Ongoing Sitemate Submission Link for timesheets will mean that the people submitting timesheets will become Sitemate Paid Users.

To be clear, none of the people submitting timesheets are paid Dashpivot users and do not have access to Dashpivot. Instead, they will be Sitemate Paid Users, who use the Sitemate app to submit their timesheets into your Dashpivot account.

How to create an Ongoing Submission Sitemate Link for Timesheets

  1. Go to the team folder where you want your Timesheets to be submitted

  2. Go to the Users section

  3. Go to Sitemate Users 'Paid'

  4. Under 'Sitemate Links' click Create Link

  5. Give your link a name, and select your Timesheet Template

  6. Click create

Note: if you don't have a timesheet template yet, you can use one of our free timesheet templates, available in the Public Template Library.

Once created, all you need to do is distribute the Sitemate Link to the relevant personnel, so they can fill out and submit timesheets.

How do I get workers to submit the Timesheets?

You'll need to send your newly created link to the relevant people so they can start submitting timesheets. There's 2 options:

  • Copy the link and send it as a URL eg. via email or text message.

  • Downloaded a QR code poster, which opens the link when scanned with a smartphone. Stick this on the wall of your site or office.

When someone clicks on the link or scans the QR poster, the Timesheet template will get added into their Sitemate app, and they will become a Sitemate Paid User.
