Create and update a new ePRO form

Creating an ePRO form follows a process similar to creating an eCRF.

However, the ePRO form will be sent directly to participants, who will view one question at a time. Therefore, it is crucial to design a questionnaire that is both intuitive and user-friendly for them to complete.

How to create a New ePRO Form

  1. Navigate to ā€œePRO Formsā€

  2. Select ā€œCreate new ePROā€

  3. Provide :

    • an ePRO name (used internally by the site)

    • a Survey name (visible to the subjects)

  4. Choose to build the form from scratch or from a template.

How to edit an ePRO Form

  1. Navigate to ā€œePRO Formsā€

  2. Select the edit icon on an existing form

  3. Configure your sections, subsections, questions, and conditions.

šŸ’” Your ePRO form will automatically be saved as a Draft, allowing you to make necessary changes and test the form. Once finalized, you can publish the ePRO.


Test your ePRO form

Testing your ePRO form is essential to ensure it is designed as intended. Subjects will view one question at a time.

It is important to test the form after each modification to achieve an efficient and user-friendly design ✨. The steps below apply to both creating a new form and editing an existing one, as long as the form is in Draft status.

How to test your ePro form

  1. Keep your ePRO form builder open

  2. Open another Datacapt browser study page

  3. Navigate to ā€œSubjectsā€

  4. Generate a new test subject

  5. Navigate to ā€œePRO Recordsā€

  6. Generate a record for this ePRO form, associated with the test subject

  7. Under the generated record, open the options menu (3 dots), select ā€œOpen in new tabā€

  8. Test your ePRO Form

šŸ’” Tips: As long as the test ePRO form is incomplete, you can update it in the ePRO Form Builder (in one tab) and instantly see the changes in another. It’s a quick way to test and refine your design.


Publish your ePRO form

Once you have tested and validated your ePRO questionnaire, you can change its status to "Published" to begin collecting patient data.

Prerequisite: Your study must be in LIVE status to publish the questionnaire.

āš ļø When you publish an ePRO form, all existing test records are automatically deleted to ensure a clear separation between test data and real participant data.

How to publish an ePro form

  1. Navigate to ā€œePRO Formsā€

  2. For the desired ePRO form, open the options menu (3 dots), select ā€œSettingsā€

  3. Update the ePRO Status to ā€œPublishedā€, click Save.

  • Document the validation of your ePRO form before publishing.

  • Avoid publishing a form that hasn’t been fully reviewed and validated,
    making changes after go-live is time-consuming and may risk impacting collected data.
