Generate and send ePros
An ePRO record is a participant-specific instance of an ePRO form, created each time the form is sent. You can generate and share ePRO records in several ways:
Manually from the ePRO Records dashboard: ideal for ad hoc invitations.
From within the eCRF: trigger an ePRO invitation using a built-in action button.
Using automations: schedule ePROs to be sent based on predefined triggers and delays.
On-site via QR code: let participants scan and complete the ePRO on their own device.
On-site on with device: open the ePRO form in a new tab and hand the device to the participant.
With investigator assistance: fill out the ePRO directly based on the participant’s answers.
🛠️ Step-by-step guides

Go to the ePRO Records section in your study.
Click + Invite subjects.
Select a communication option: Email, SMS, or No invitation.
Choose the ePRO form to send.
Select the subject(s) to receive the form.
(Optional) Click Customize Your Email to personalize the message.
Click Invite.
→ A new ePRO record is created for each selected subject and appears in the dashboard.

Step 1: Configure the eCRF
Go to the eCRF Builder.
In the relevant form, click Add question.
Select the question type ePRO invitation.
(Optional) Change the label (e.g., “Send Day 1 Questionnaire”).
Save.
Step 2: Use the button in the eCRF
Open the subject’s eCRF.
Go to the form containing the action button.
Click the ePRO invitation button.
Select the ePRO form.
(Optional) Customize the email.
Click Invite.
→ A new ePRO record is created and linked to the subject.
Using automations

Go to Automation in your study.
Click + New automation.
Enter a name for your automation.
Select a trigger (e.g., question answered in an eCRF or ePRO).
Choose the source form and question.
Define the condition (e.g., answer = Yes).
Under Action, select Send ePRO Survey.
Choose the ePRO form to send.
Set the delay before sending (e.g., +7 days).
Customize the email subject and body.
Click Save.
→ ePRO records will be generated automatically based on the defined logic.

Go to ePRO Records.
Use filters to find the correct ePRO record.
Click the three dots (⋯) next to the record.
Select Open with QR Code.
Ask the participant to scan the QR code with their device.
→ The ePRO opens instantly and can be completed without login or installation.

Go to ePRO Records.
Use filters to find the correct ePRO record.
Click the three dots (⋯) next to the record.
Select Open in new tab.
Hand the device to the subject.
→ The subject completes the ePRO directly in the browser.
On-site with investigator assistance

Go to ePRO Records.
Use filters to find the correct ePRO record.
Click the three dots (⋯) next to the record.
Select Edit.
Ask the subject the questions and enter their responses.
→ The system logs this entry as completed by the investigator in the audit trail.
Resend an ePRO record
If a participant needs a reminder, you can easily resend the invitation:

Use filters to locate the specific ePRO record.
Click the three dots (⋯) next to the record.
Select Resend.
Choose a communication method: Email or SMS.
(Optional) Click on Customize Your Email to update the message content.
Click on Invite
💡 You can also select Copy Link to share the ePRO access via another channel (e.g., WhatsApp or a secure portal).
✅ For bulk actions, select multiple ePRO records — a bulk resend option will appear at the bottom of the screen.
