Until now, producing reports overviews required exporting data and combining files externally.
Datacapt 4.21 introduces a dedicated Reports module, directly accessible from the main navigation menu.

Weâve completely redesigned the participant portal to offer a more modern, intuitive, and self-service experience.
Whatâs new?
New design and personalization options: improved design to make the participant interphase more pleasing and customer-friendly. Added an option for participant to choose an avatar they like.
Visibility on past and upcoming visits: participants can also view their upcoming and past visits directly from the portal, increasing transparency and helping reduce missed appointments. Participants can also insert visits directly in their calendar!
Secure email change process: the email change flow includes password confirmation and OTP verification, ensuring secure and validated credential updates.
How does it work?
Participants can:
Access visit history and upcoming visits
Import visit information in they calendar
Update personal information directly in their profile
Change login email through a secure two-step process

The banner prompting participants to enter their bank details has been temporarily removed. It will be replaced by a dedicated task in an upcoming iteration (planned within the next few weeks).
In the meantime, participants can still add their bank information directly in their profile.
You can also use the reporting feature to identify participants who have not yet provided their bank details.
EDC - Automatic Invitation to All Studies and Centers
Managing users across many studies can quickly become time-consuming for administrators.
Datacapt 4.21 introduces a clearer and more controlled way to give certain users access to all relevant studies, replacing the legacy âaccess allâ permission.
The new approach provides better transparency, improved governance, and stronger alignment with GDPR principles.
Whatâs new?
New âInvite to all studies automaticallyâ option available directly at the user level
Applies to EDC and Recruitment studies
Automatically includes users in DRAFT, LIVE, and SUSPENDED studies
Automatically applies to future studies created on the platform
Existing users who previously had âaccess allâ have been automatically migrated
New center display which are now shown and can be selected by country.
New option to select all center instead of having to pick them one by one.
How does it work?
From Global User Management, administrators with the appropriate permission can activate the âInvite to all studiesâ option when creating or editing a user.
When this option is enabled:
The user is automatically invited to all eligible studies linked to their centers
The same logic applies automatically when new studies are created
This removes the need to manually invite the same user to each study.

EDC - RTSM - Export Kit Inventory
Datacapt 4.21 introduces the ability to export kit inventory directly from the RTSM module.
This allows site pharmacists and supply managers to easily retrieve inventory information and reconcile it with external supply systems or internal tracking tools.

Corrected an issue where subjects removed from the Subject Database could still appear in inclusion list search filters.

đ Platform - Users & Permissions
Ensured that users marked as âinvited to all studiesâ are properly linked to newly added centers across all relevant studies.
Following recent changes, users with access to all studies must now attach themselves to centers when new centers are created. This ensures proper data attribution, as center assignment is normally required when adding users to a study. In regards to that, the user list now displays âCentersâ for EDC-only users, allowing them to be properly linked to centers.
Admin users are now consistently included in all new studies as expected.
đ§Š EDC - eCRF & Builder
Resolved an issue where calculations depending on other calculated fields were not triggered correctly. Dependent calculations now update as expected.
Corrected the behavior of Repeated Measures deletion. Removing a form instance no longer alters the sequence of the remaining entries.
đ§ EDC - eConsent
Users with the appropriate eConsent Builder permission can now download empty eConsent forms as PDF files.
đ˛ EDC - Randomization (RTSM)
Addressed an edge case in dynamic randomization where configurations without strata could lead to inconsistent behavior. While dynamic randomization is typically used with stratification, the process now remains stable even if no stratification are defined.
đ CTMS - Recruitment & Subject Database
Recruitment questionnaire: permissions have been adjusted so users without Builder access can now upload images in recruitment questions when appropriate.
Filtering has been corrected. âEqualâ and âNot equalâ conditions now return accurate results when targeting recruitment studies.
Scheduling: Improved the event update experience: when a participant is added from the scheduler, the confirmation indicator is now displayed immediately without requiring a refresh.

Adjusted permission handling for ePRO invitations. Users can now send ePRO invitations with the âePRO records addâ permission alone, without requiring additional list or dashboard access.
Users can now export empty ePRO records with âePRO Forms accessâ and âePRO Builderâ permissions only. Previously, the âePRO records exportâ permission was also required, even when no data was present. Access has been adjusted to better reflect actual usage.
đŠ Platform - Emails
Corrected an issue in email templates where the footer containing the Datacapt logo could appear oversized, making the email content difficult to read. Email layout is now properly balanced.

Corrected a translation issue in the permissions list for French.
Additional interface adjustments have been made to improve overall usability and consistency.

Fixed an issue where the âAccess to studiesâ toggle was not properly saved in user settings. Changes are now correctly applied.

Release 4.21.5 - Thursday 9th April 2026
đ§Š EDC - eCRF
We fix an issue where in the visit inclusion list, hidden data validation message (resolved query) are no longer displayed. Statuses now accurately reflect only active queries.
Corrected an access control issue in the inclusion list. In very specific scenarios, it was technically possible for a user with access to one center to attempt accessing participants from another center by manually modifying the participant ID in the URL, which required deliberate manipulation. Access controls have now been reinforced to ensure users can strictly view data only from their assigned centers.
When selecting a date during the data collectection for date & time questions, the system no longer auto-populates the current time. Users can now define the time independently, ensuring more precise and flexible data entry.
đ§ EDC - ePRO
ePRO reminders are now properly triggered for ePROs with the status âCreated.â Previously, reminders were not sent in this specific case, even though the ePRO had been generated. Other reminder flows were not impacted.
When sending emails to participants, a clearer message is now displayed if the email content is too long. This helps users quickly understand and adjust their message.
đ CTMS - Recruitment & Scheduling
Enforced invitation-only access in recruitment studies. Previously, participants without an account could bypass this restriction by registering during the application process and then proceeding. This flow has been corrected, and invitation-only studies are now properly restricted to invited participants only.
Resolved a scheduling inconsistency where users could briefly see a schedule from a different recruitment study. The correct schedule is now consistently displayed.
đ¤ CTMS - Participant account
The ânew login on your accountâ email notification has been disabled for participant users to reduce unnecessary communications.
Release 4.21.6 - Monday 13th April 2026
đ§ EDC - ePRO Auto-Lock After Completion Window
You can now set a maximum completion window for ePRO surveys. Once the specified period expires (e.g., 48 hours or 5 days after the survey is sent), participants will automatically lose access.
You can configure flexible time windows to auto-lock in hours or days per ePRO form. A clock icon appears on forms with target time enabled.
System locks forms when the window expires, no manual intervention needed
Updating the target time after sending applies the new window immediately
When a participant tries to access a survey, display: âThis survey is no longer available. The completion window has expired.â
đŠ Platform - Emails
We have fixed an issue related to email lenght integrating formatting. The limit is now set to 10,000 characters.

Resolved an issue that could occur when adding new slots to a schedule, where participants might encounter errors when trying to book a visit. Booking now works as expected after slot updates.
SMS invitations can now be resent without character limitations. Messages are no longer restricted to 150 characters and support longer content as intended.
đĄ Builder (ePRO, eConsent, Recruitment survey, Subject Database Survey)
Improved the handling of number questions with long units of measure. Participants can now answer these questions without input issues.

Release 4.21.8 - Wednesday 22nd April 2026

Resolved an issue where some queries were not displayed in forms using repeated measures. In certain configurations, the presence of data validation on one repeated measure could prevent queries from appearing on others. Queries are now consistently visible across all repeated measures.
Restored âno answerâ actions in table questions. Users can now manage responses directly within each cell, including marking them as missing or clearing values, as expected.
Improved performance of the Inclusion and Visit (event) lists, resulting in faster loading and smoother navigation.
đ§ EDC - ePRO
Corrected the behavior of ePRO automations based on occurrences. In some cases, only the second occurrence was triggered after completing the first one. Automations now correctly trigger all subsequent occurrences in the sequence until completion.
Adjusted the behavior of archived ePRO records. Occurrences are no longer sent once a record has been archived.
đ EDC - Exports
Addressed issues affecting some exports, including empty eCRF and ePRO files, which could previously fail or return inconsistent results.
Added the ability to export queries directly from the monitoring/queries page, making it easier to review and share data.

Corrected a translation issue where identical strings between languages could result in incorrect translations being displayed.
