š Platform - Native Cross-Database Reports
Until now, producing reports overviews required exporting data and combining files externally.
Datacapt 4.21 introduces a dedicated Reports module, directly accessible from the main navigation menu.

In this first iteration, the module connects Subject and Payment databases.

Creating or editing a report
When creating or editing a report, users configure:
Report title

Sorting rules
Reports can be saved using:
Save (stay on the page)
Save and close (return to the list)
If users leave the page with unsaved changes, a confirmation modal will appear.
Exporting
Reports can be exported using the saved configuration.
Export format: CSV
Large exports are processed in the background and users are notified when the file is ready.

Users with permission to edit reports will have access to all subject database data as well as all payment data regardless the permissions that were set-up in their roles.
Users with permission to access to reports will see all data set-up in reports regardless the permission set-up in their roles.

š„ SITE CTMS - Participant Portal, New Experience
Weāve completely redesigned the participant portal to offer a more modern, intuitive, and self-service experience.
Whatās new?
New design and personalization options: improved design to make the participant interphase more pleasing and customer-friendly. Added an option for participant to choose an avatar they like.
Visibility on past and upcoming visits: participants can also view their upcoming and past visits directly from the portal, increasing transparency and helping reduce missed appointments. Participants can also insert visits directly in their calendar!
Secure email change process: the email change flow includes password confirmation and OTP verification, ensuring secure and validated credential updates.
How does it work?
Participants can:
Access visit history and upcoming visits
Import visit information in they calendar
Update personal information directly in their profile
Change login email through a secure two-step process

The banner prompting participants to enter their bank details has been temporarily removed. It will be replaced by a dedicated task in an upcoming iteration (planned within the next few weeks).
In the meantime, participants can still add their bank information directly in their profile.
You can also use the reporting feature to identify participants who have not yet provided their bank details.
EDC - Automatic Invitation to All Studies and Centers
Managing users across many studies can quickly become time-consuming for administrators.
Datacapt 4.21 introduces a clearer and more controlled way to give certain users access to all relevant studies, replacing the legacy āaccess allā permission.
The new approach provides better transparency, improved governance, and stronger alignment with GDPR principles.
Whatās new?
New āInvite to all studies automaticallyā option available directly at the user level
Applies to EDC and Recruitment studies
Automatically includes users in DRAFT, LIVE, and SUSPENDED studies
Automatically applies to future studies created on the platform
Existing users who previously had āaccess allā have been automatically migrated
New center display which are now shown and can be selected by country.
New option to select all center instead of having to pick them one by one.
How does it work?
From Global User Management, administrators with the appropriate permission can activate the āInvite to all studiesā option when creating or editing a user.
When this option is enabled:
The user is automatically invited to all eligible studies linked to their centers
The same logic applies automatically when new studies are created
This removes the need to manually invite the same user to each study.

EDC - RTSM - Export Kit Inventory
Datacapt 4.21 introduces the ability to export kit inventory directly from the RTSM module.
This allows site pharmacists and supply managers to easily retrieve inventory information and reconcile it with external supply systems or internal tracking tools.

Resolved an issue where eCRF records could not be unlocked from the inclusion list using the three-dot menu action. Unlock actions now work as expected.
Prevented a blocking behavior when saving Repeated Measures questions with duplicated variable names. The system now properly detects duplicates and avoids infinite loading.
Corrected an issue where subjects removed from the Subject Database could still appear in inclusion list search filters.
Improved export formatting in Excel to ensure sections are structured and readable.

Corrected the language of OTP emails sent during account creation via eConsent. Messages are now sent in the correct language.

Improved calendar behavior: editing an event no longer systematically displays a misleading ācapacity updatedā message.
Enhanced the calendar experience when managing events with more than six participants to ensure smoother interaction.
Resolved an issue where visits created in the scheduler were not visible in the participant portal when the schedule was not yet published.

Improved the kit inventory export to align with the study lifecycle. Draft studies export dummy data, while Live studies now return production data.
Refined the randomization list export by removing the slot number column for a clearer and more relevant output.
Release 4.21.3 - Thursday 26th March 2026
š Platform - Users & Permissions
Ensured that users marked as āinvited to all studiesā are properly linked to newly added centers across all relevant studies.
Following recent changes, users with access to all studies must now attach themselves to centers when new centers are created. This ensures proper data attribution, as center assignment is normally required when adding users to a study. In regards to that, the user list now displays āCentersā for EDC-only users, allowing them to be properly linked to centers.
Admin users are now consistently included in all new studies as expected.
š§© EDC - eCRF & Builder
Resolved an issue where calculations depending on other calculated fields were not triggered correctly. Dependent calculations now update as expected.
Corrected the behavior of Repeated Measures deletion. Removing a form instance no longer alters the sequence of the remaining entries.
š§ EDC - eConsent
Users with the appropriate eConsent Builder permission can now download empty eConsent forms as PDF files.
š² EDC - Randomization (RTSM)
Addressed an edge case in dynamic randomization where configurations without strata could lead to inconsistent behavior. While dynamic randomization is typically used with stratification, the process now remains stable even if no stratification are defined.
š CTMS - Recruitment & Subject Database
Recruitment questionnaire: permissions have been adjusted so users without Builder access can now upload images in recruitment questions when appropriate.
Filtering has been corrected. āEqualā and āNot equalā conditions now return accurate results when targeting recruitment studies.
Scheduling: Improved the event update experience: when a participant is added from the scheduler, the confirmation indicator is now displayed immediately without requiring a refresh.

Improved cache handling after deployments to prevent temporary display or access issues following new releases.

Adjusted permission handling for ePRO invitations. Users can now send ePRO invitations with the āePRO records addā permission alone, without requiring additional list or dashboard access.
Users can now export empty ePRO records with āePRO Forms accessā and āePRO Builderā permissions only. Previously, the āePRO records exportā permission was also required, even when no data was present. Access has been adjusted to better reflect actual usage.
š© Platform - Emails
Corrected an issue in email templates where the footer containing the Datacapt logo could appear oversized, making the email content difficult to read. Email layout is now properly balanced.

Corrected a translation issue in the permissions list for French.
Additional interface adjustments have been made to improve overall usability and consistency.

Fixed an issue where the āAccess to studiesā toggle was not properly saved in user settings. Changes are now correctly applied.
