By default, an ePRO stays open until the participant completes it. Two settings let you close it automatically instead, so that answers collected too late do not end up in your data.
Both live in ePRO settings › General, alongside the form name and status.
🔑 Prerequisite: ePRO Settings (Access)
Which one do you need?
Setting | What it does | Use it when |
Target time | Closes the ePRO a set number of hours or days after the record was generated. Every participant gets the same window, each with their own deadline. | Most cases. The answer only makes sense within a window, for example a daily diary or a symptom report after a visit. |
Target date | Closes the ePRO on a fixed UTC date and time, the same for every participant. | You have a hard cut-off, for example an interim analysis or a database lock. |
💡 Tip: the two can be active together. Target time is counted per record, target date is the same for everyone, so a participant invited late may be closed by the date before their own window has run out.
Set an expiry
🛠️ Step by step guide
Navigate to ePRO forms
On the form you want, open the options menu (3 dots) and select Settings
Stay on the General tab
Turn on Target time and enter a number of hours or days, or turn on Target date and choose a UTC date and time
Select Save
What happens when it expires
The questionnaire is no longer available. A participant opening the link is told that the completion window has expired, and cannot answer.
Expiry closes access, it does not change the record status. The record keeps recording what the participant actually did:
Completed if they had finished before the deadline
Uncompleted if they had started without finishing
Created if the ePRO was never sent to them
⚠️ Warning: closing is automatic and needs no action from your team. An expired record that was not completed stays in Not completed, and therefore counts against the subject's compliance rate.
