Exclude or re-include a subject in the eCRF

Exclude a subject who is not eligible or has withdrawn, find excluded subjects again, and re-include one

Excluding a subject records that they are no longer contributing data, without deleting anything they have already given you.

Exclude a subject

Exclude a subject when they are not eligible, have withdrawn, or are no longer taking part.

šŸ› ļø Step by step guide

  1. Open the subject's eCRF.

  2. Click the Ā·Ā·Ā· menu at the top left, next to the subject ID.

  3. Select Exclude participant.

  4. Give a reason.

  5. Enter your password to confirm.

What excluding does:

  • All data already collected is kept, and is exported with the excluded status and the reason.

  • The subject no longer appears in the Inclusions list by default.

  • The status reads EXCLUDED with the reason in parentheses, for example EXCLUDED (Non eligible).

  • In the eCRF itself, the top bar reads Excluded in place of the completion percentage.

šŸ’” Tips

  • The same Ā·Ā·Ā· menu also holds Update Participant Status and Open participant profile.

  • If you signed in through SSO with your company credentials, no password is asked: you give the reason and confirm, because the platform recognizes your company credential.

  • You can add a data validation to your eCRF so an exclusion message appears in the form itself when a subject meets your exclusion criteria. See Create queries.


Find excluded subjects

Excluded subjects are hidden from the Inclusions list by default.

  1. Go to the Inclusions list.

  2. Open Filters.

  3. Filter by status and select Excluded.


Re-include a subject

Re-including a subject makes their eCRF editable again.

  1. Go to the Inclusions list and filter by status Excluded.

  2. Open the subject's eCRF.

  3. Open the Ā·Ā·Ā· menu and select Un-exclude participant.

  4. Give a reason.

  5. Confirm.

šŸ’” Tip: re-including does not ask for your password, but it does require a reason, and that reason is recorded.
