Kit allocation in eCRF

Pre-requisites to allocate a kit :

  • Allocation configuration must exist.

  • Site must have Available kits.

  • The form must include an Allocation item.

Allocating kits

Step 1 - Open the subject’s eCRF.

Step 2 - Click Allocate.

Step 3 - The allocated kit line appears with:

  • Kit ID

  • Timestamp

  • Investigator name

  • Treatment arm (if unblinded)

💡 Good to know:

Inventory instantly updates:

  • Status → Allocated

  • Subject ID, timestamp, and allocator recorded

Button temporarily disables to prevent double allocation.


Deallocating a kit

  1. In eCRF, open next to the allocated kit.

  2. Select Deallocate.

  3. Provide a reason (mandatory).

  4. Confirm.

The kit line disappears and returns to Available in inventory.


Declaring a kit invalid

  1. In eCRF, open ⋯.

  2. Select Declare invalid.

  3. Provide a reason.

  4. Confirm.

The kit stays visible in eCRF as Invalid, and the inventory updates accordingly.

⚠️ Important :

  • Deallocate only if a wrong kit was assigned.

  • Declare invalid for damaged or temperature-excursion kits.

  • Reason completion is always mandatory.
