🎯 General Platform Questions

How many team members can I invite to the Suite?

Unlimited. The Suite includes unlimited seats, so you can invite as many team members as you need. Assign them roles (Admin, Manager, Team Member) to control what they can access.

Do I need a separate login for the DaySmart Marketing Suite?

No. You log in via your Site Admin account (SSO). The same credentials you use every day automatically grant you access to the Suite — no additional password required.

Can I test features before going live with customers?

Yes. The platform supports test mode for API-based actions. For example, when setting up appointment booking, you can enable "no-op" mode so the receptionist goes through the booking flow without actually creating appointments. This lets you test end-to-end without cluttering your calendar. Once you're confident, turn off no-op mode to go live.


🤖 AI Receptionist Questions

What languages does the AI Receptionist support?

The receptionist confirmed supports French and Spanish. Chinese worked in testing, though client names may display as "??" in some views. If your business operates in other languages, test with your specific language during onboarding to ensure it meets your needs.

Can the receptionist handle cancellations and rescheduling?

Not at this time. The receptionist can only book new appointments. Cancellation and rescheduling are not yet available. If a customer requests a cancellation, they'll need to contact you directly or use your booking system.

How independent is the receptionist?

It depends on your autonomy level. You can choose:

  • Level 1: Handoff — It asks permission before acting

  • Level 2: Guided — It acts with guardrails

  • Level 3: Autonomous — It acts decisively without second-guessing

Most setups use Level 3 (Autonomous) for faster responses and 24/7 coverage. You can change your autonomy level anytime.

Why did my avatar change?

You may have edited it yourself and not remembered, or an admin on your account changed it. If you want to change it back:

  1. Go to AI > Workforce.

  2. Click on your Chat Receptionist.

  3. Click Avatar.

  4. Select a new avatar.

  5. Save.

The change may take a browser refresh (or a few minutes) to appear to end users.

Can the receptionist transcribe and record calls?

The CRM AI product includes conversation intelligence that records, transcribes, and summarizes virtual meetings (Google Meet and Microsoft Teams at launch). Phone call transcription is not yet available. Voice interactions with the receptionist are logged as summaries in your CRM conversations.


🤝 CRM & Contact Questions

Where do my contacts come from?

Contacts are created automatically when:

  • Your AI Receptionist captures a lead from a web chat

  • Someone fills out a form on your website

  • You manually add a contact

The CRM doesn't pull in external contact lists automatically; you'll need to upload or manually add existing contacts if you want them in the system.

Can I upload a list of existing customers?

Yes. You can import a CSV or Excel file of contacts:

  1. Go to CRM > Contacts.

  2. Click Import Contacts.

  3. Upload your file.

  4. Map the columns (name, email, phone, etc.) to match your data.

  5. Click Import.

The system will create a contact record for each row.

How do I delete a contact?

To delete a single contact:

  1. Open the contact's profile.

  2. Click More (three dots).

  3. Select Delete Contact.

  4. Confirm.

To delete multiple contacts, use the checkboxes in your contact list and click Delete Selected (this may require admin permissions).

Can I create custom fields on my contacts?

Yes. Custom fields let you capture information specific to your business. To add a custom field:

  1. Go to CRM > Contacts.

  2. Click Settings or Customize Fields.

  3. Click Add Field.

  4. Name the field (e.g., "Preferred Service," "Budget").

  5. Choose the field type (text, dropdown, date, etc.).

  6. Save.

The new field will appear on all contact records.


📬 Email & SMS Campaign Questions

What if an email fails to send?

A few things to check:

  • Is your list empty? You can't send to a list with zero contacts.

  • Did contacts unsubscribe? Unsubscribed or invalid email addresses won't receive messages.

  • Did you schedule it? Make sure you actually clicked Send or Schedule — saving as a draft doesn't send anything.

If you're still stuck, reach out to support with your campaign name and list details.

Why did my outbound message take a long time to arrive?

Outbound messages (emails and SMS) can take a few minutes to arrive. Don't assume failure if a message doesn't show up in your inbox immediately. Wait at least 5 minutes, then check.

How does the "New Message" button work?

The New Message button lets you send an outbound email to a contact. Important: It creates a brand-new email thread — it does NOT append to an existing conversation thread. If you want to reply in an existing thread, open the conversation in Conversations and reply there.

Is there a limit on how many emails I can send?

Yes. Each organization can send up to 10,000 emails per month. You can see your usage in the campaign dashboard. SMS volume depends on your subscription plan.

Can I schedule emails to send at different times for each recipient?

Not yet. You can schedule a campaign to send at a single time for all recipients, or set it to trigger automatically when a condition is met (e.g., when someone fills out a form). Recipient-specific send times are on our roadmap.


🖥️ Forms & Web Capture

Why doesn't my form appear on my website?

Forms are embedded using a code snippet. A few things to check:

  • Did you get the embed code? Go to CRM > Forms, find your form, and click Get Embed Code.

  • Did you paste it in the right place? The code should go in your site's header or body (whoever edits your site will know where).

  • Is your site live? Forms don't appear on staging/preview versions, only on live sites.

  • Browser cache? Clear your cache and do a hard refresh.

If your form still doesn't show, reach out to support with your form name and website URL.

Can a form submission trigger an automatic response?

Yes. Use Automations. When someone submits your form, you can automatically:

  • Send them a welcome email

  • Send an SMS confirmation

  • Redirect them to a thank-you page

  • Add them to a smart list

To set this up, go to Automations > Create Automation and choose Form Submission as your trigger.

Can I embed a form and the receptionist chat on the same page?

Yes. Both the receptionist widget and form embed codes can live on the same page. Just paste both code snippets into your site's HTML. They won't interfere with each other.


🌐 Conversations & Channels

Why can't I send SMS?

SMS isn't enabled until you:

  1. Go to Administration > Phone number settings.

  2. Complete SMS Registration (required by US telecom regulations).

  3. Wait for approval (usually a few business days).

Once approved, SMS channels will be fully enabled and your receptionist can send and receive texts.

Do all channels need to be enabled?

No. Enable only the channels you need. If you only want web chat, leave email and SMS disabled. You can enable/disable channels anytime under AI > Workforce.

How do I assign a conversation to a team member?

  1. Open the conversation.

  2. Look for Assigned to at the top.

  3. Click and select a team member.

  4. Save.

The team member will be notified and can follow up from the Conversations inbox.


📊 Reporting & Analytics

Where can I see campaign performance?

  1. Go to Campaigns.

  2. Click on your campaign name.

  3. Scroll to Performance or Analytics.

You'll see open rate, click rate, conversions, and other metrics. Drill into each metric for more detail.

Is there an executive report I can pull?

Yes. Go to Executive Report to see high-level metrics:

  • New contacts acquired

  • Conversations handled

  • Appointments booked

  • Campaign performance

  • Engagement trends

You can usually download or export these reports (feature availability may vary by plan).

Can I see which campaigns drove the most appointments?

Yes, if your campaigns are connected to appointment bookings in the system. In Campaigns > Analytics, look for attribution or source data. If your setup doesn't track this yet, reach out to support to enable campaign-to-appointment tracking.


💰 Billing & Subscription

How do I upgrade or downgrade my subscription?

Go to Administration > Subscription or Billing. From there you can:

  • Upgrade to add more features or remove feature limits

  • Downgrade to a lower tier

  • Add seats or channels

Changes usually take effect immediately or on your next billing cycle (depending on the change).

What's included in the DaySmart Marketing Suite bundle?

The Suite includes:

  • AI Receptionist — 24/7 chatbot with appointment booking

  • CRM AI — Contact management, activity tracking, and AI-powered insights

  • Campaigns Pro — Email and SMS marketing campaigns with automation

Some features (like conversation intelligence or specific capabilities) may require additional setup or a higher-tier subscription. Check My Products in the Suite to see what's enabled for your account.


🛠️ Technical & Account Issues

My password isn't working. How do I reset it?

The Suite uses Single Sign-On (SSO), so you don't have a separate Marketing Suite password. You log in with your Site Admin credentials.

If you forgot your Site Admin password:

  1. Go to your Site Admin login page.

  2. Click Forgot Password.

  3. Follow the email link to reset.

  4. Once reset, use those credentials for the Suite.

I accidentally added the wrong user. How do I remove them?

  1. Go to Administration > User Management.

  2. Find the user you want to remove.

  3. Click More (three dots) or Delete.

  4. Confirm removal.

They'll lose access to the Suite immediately.

How do I change my user role?

Admins can change user roles:

  1. Go to Administration > User Management.

  2. Find the user.

  3. Click Edit or More.

  4. Change their Role (Admin, Manager, Team Member).

  5. Save.

The new permissions take effect immediately.

Is my data secure and backed up?

Your data is hosted on secure, enterprise-grade servers and backed up regularly. However, for specific details on encryption, retention, compliance standards (HIPAA, SOC 2, etc.), and disaster recovery, reach out to support. They'll provide detailed security documentation for your peace of mind.
