Learn how to enter, manage, and sync employee timesheets in DaySmart Payroll, including single and multi-rate hour entry, syncing to payroll, and timesheet history.

šŸ“ Overview

Timesheets let you capture, review, and sync employee hours directly into payroll, whether a worker has a single hourly rate or multiple hourly rates tied to different roles.

Once hours are synced, payroll automatically calculates earnings and applies overtime, so you don't have to do it manually.


šŸ› ļø Entering & Managing Timesheets

The video below walks through entering hours for both single and multiple hourly rate workers.

  1. From your Dashboard, click Time Sheets to land on the Time Entry tab.

  2. Select the pay period you want to work on. If your account has multiple pay groups, pay periods are organized under each pay group, along with the submission deadline.

  3. Use the search bar to find a specific worker.

  4. For a worker with a single hourly rate, enter their hours directly against that pay type.

  5. For a worker with multiple hourly rates, enter hours separately against each role.

  6. Review the daily and pay period totals at the bottom of the grid.

  7. Click Save as Draft to save your progress and finish the timesheet later.

āš™ļø Syncing to Payroll

āš ļø If a worker is missing an hourly rate or their payroll setup is incomplete, you won't be able to sync their hours until the issue is resolved. Clear error messages will guide you to fix any issues before syncing.

Once hours have been reviewed, click Sync to Payroll. You'll see a success message confirming the hours have been synced. Payroll then uses the synced hours and each worker's applicable rates to calculate earnings automatically.


šŸ“Š Reviewing Synced Hours & Overtime

To review synced hours, navigate to Run Payroll and resume the pay period the hours were synced to. Earnings appear broken out by role, so you can verify the calculations before submitting payroll.

Automatic Overtime Calculation

Overtime is calculated automatically after a timesheet has been synced to payroll.

For a worker with a single hourly rate, payroll applies the applicable overtime rules to any hours worked over the FLSA threshold at that rate. If a worker has multiple hourly rates, payroll calculates overtime differently.

Once everything looks correct, click Submit Payroll.

The History tab gives you a centralized view of every timesheet across your pay groups and pay periods, including status, total hours, sync information, and available actions.

Can I edit a timesheet after it's been synced to payroll?

Yes. As long as payroll hasn't been submitted yet, a synced timesheet can still be updated and re-synced.

What happens to a timesheet once payroll is submitted?

Once payroll is submitted, the timesheet's status changes to Processed. It's locked and available only in view-only mode for historical reference.

What happens if I try to sync a timesheet with incomplete worker information?

Syncing will be blocked until the issue is resolved. You'll see a clear error message, such as a missing hourly rate or incomplete payroll setup, guiding you to fix it before you can sync.
