ISSUE: Bola is lagging and charts incorrectly once it catches up (Desktop EHR)

This article offers troubleshooting guidance for issues in which Bola lags and/or charts incorrectly.



What these issues may look like:

  1. Bola listens to your commands but is slow to enter them into your Practice Management System

  2. Bola listens to your commands but is slow to enter them into your Practice Management System, and when they are entered they are incorrect

Troubleshooting steps

For charting incorrectly, there could be multiple causes as laid out below.

1. Missing/Skipped Teeth not aligned

The most common cause of issues while charting relates to missing and skipped teeth. Bola relies on a combination of information provided within the EHR and by the user to chart information correctly in the perio chart. Issues with navigation will look like Bola is...

  • Jumping to the wrong tooth

  • Adding bleeding on the wrong tooth or wrong position

  • Causing pocket depths and gingival margins to be added to the incorrect teeth
    ​

  • As shown below in the "mark missing teeth" section, teeth #s 1, 16, 17 and 32 (the molars) have been marked as missing (due to wisdom teeth removal).

  • You should make sure these match the missing and skipped teeth in your practice management software

  • Bola does have the capability to identify missing teeth marked automatically with the letter "M" (shown below) but Bola cannot identify skipped teeth (implants, pontics, unerupted teeth, etc.) at this time

  • Below is an example of what an implant looks like on the perio chart

  • In order to account for skipped teeth, you will need to manually mark them as "missing" in the Bola app in order for navigation to work as expected.


2. Check your internet connection

In order to chart successfully, Bola needs >5 MPBS of internet bandwidth. We recommend for a seamless experience at least 10 MPBS

1. Navigate to either Fast OR SpeedTest to test your internet speed

2. If you are seeing speeds <5 MPBS, you will need to escalate to your IT team or Internet Service Provider (ISP)


3. Try speaking slower to Bola

Like a person, Bola needs time to process and act on what you are saying to them.

  • Speak commands more slowly to Bola and make sure you pause until you hear the audible sound and/or see Bola is caught up
    ​

  • For measurements like pocket depths and gingival margins, try saying numbers in groups of 3 (with no more than 9 measurements total at a time).
    ​

  • Bola works on a set cadence in voice perio charting and we recommend charting 1-3 teeth at a time. Speaking ore than that, especially more than 5 teeth at a time requires processing time and could result in appearance of a lag.

4. Disable Speak Back settings

The root cause of your issue may be that you have "speak back" setting enabled and you are not wearing headphones. In this instance, Bola is hearing itself speak back commands and is getting confused based on what you are saying versus what they are repeating to itself.

  1. Go to options and then charting settings in the Bola app

  2. Check if the following speak back options are checked

  3. Turn these options, and resume your charting as needed

5. Reduce background noise

You may have a noisy background and your microphone is picking up too much background noise.

Try charting at the end of the day when it is quieter. If Bola works without issue, you may need to invest in a noise cancelling microphone.


6. Try restarting your computer

Sometimes memory leaks or hung computer processes can cause slowness in applications and your browser.

Try resetting your computer at the end of the day or during downtime to see if it resolves the issue with slowness.
