Replacing a Supporting File

This guide shows how to upload a newer CSV file in place of a supporting file's current one, for example a new export of a price list. The new file becomes the next version, and the rules that use the file pick it up without being edited. It is for admins, managers and custom roles with Update access to Supporting Files, and it sits under the Supporting Files reference article.

Prerequisites

  • Update access to Supporting Files. The Admin and Manager roles have it by default

  • A CSV file that has every column of the current version, with the same names. It can add new columns

  • A file no larger than 50 MB, with no more than 250,000 rows

Steps

  1. Click the dropdown arrow (▾) next to your user avatar in the top-right corner of the screen to open the main menu.

  2. Click Supporting files.

  3. Open the ⋮ menu at the end of the file's row.

  4. Click View.

  5. Click Replace.

Note: Replace requires Update access to Supporting Files. Without it, the button is grayed out.

The Re-upload supporting file dialog opens. Its Upload Guidelines list the rules a replacement must meet.

  6. Drag the new CSV file onto the box, or click Browse and select it.

The Re-upload supporting file dialog with the Upload Guidelines and a new CSV file chosen
  7. Click Next. The Verify supporting file upload screen opens.

  8. Type REPLACE in Confirmation.

  9. Click Replace file.

Expected Outcome

A message confirms that the file was received and is being checked. The new version appears at the top of the Version history as Processing, and gets the In use tag once it is ready. Until then, rules keep using the previous version.

Common Issues

Issue

Cause

Resolution

Replace is grayed out

You are editing the file's rows, or your role cannot edit supporting files

Save or cancel your changes, or ask an admin for Update access to Supporting Files

Confirmation must be exactly 'REPLACE'

The confirmation text does not match

Type REPLACE in capital letters

The new version is Failed

The new file is missing a column of the current version, or could not be read

Hover over the info icon next to the status to see why, correct the file, and replace it again. The previous version stays in use meanwhile

Notes

  • Only the column names are compared. Their order does not matter, and rows can be added, removed or reordered.

  • A column you add becomes required for every later replacement.

  • When more than one row holds the same value, rules use the first matching row, so reordering rows can change which one applies.
