Procurement Order Lifecycle

Each procurement order passes through the following stages:

  1. Draft & Proposal – Maximum time allowed for preparing and submitting the initial draft/proposal.

  2. Approval Before Expiry – Maximum time window within which approval must be completed before the proposal expires.

  3. Processing – Time required to process the approved order internally.

  4. In-Transit – Time allocated for shipping and transportation.

  5. Delivered – Time expected for final delivery to the client.

  6. Total SLA – Cumulative time from draft initiation to delivery.

Disclaimers:

  1. General Guidance Only
The timelines in this article are intended as guidance. Actual durations may vary based on order complexity, vendor responsiveness, and local logistics conditions.

  2. Approval Responsibility
Clients are responsible for reviewing and approving proposals within the stated timeframes. Delays in approval can extend the overall SLA.

  3. Large / Big Restocks
For large or bulk restock orders, end-to-end lead time may extend to 6–8 weeks from confirmation to delivery. This reflects supplier production slots, minimum order quantities, and freight scheduling. We’ll flag this scenario during proposal so expectations are clear.

  4. Procurement Exceptions (CTO Requests)
While the standard draft & proposal stage is 2 business days, CTO-level requests may take up to 3 business days to prepare. Delivery is also longer — some vendors may have stock, but generally CTO devices require 4-6 weeks from manufacturer.

  5. Unforeseen Delays
External factors—such as customs clearance, supply chain disruptions, or severe weather—may impact in-transit and delivery timelines. We’ll provide timely updates if these occur.

  6. Regional Variations
SLAs can differ by region due to local regulations, vendor availability, and infrastructure. Totals represent typical averages, not hard guarantees.

  7. Business Days & Holidays
All durations are in business days (Monday–Friday, excluding local holidays) unless stated otherwise.
