Smarter Asset Management, Better Inventory Visibility & Improved Order Coordination

This release introduces one of our most significant asset management enhancements to date, alongside several improvements designed to help IT teams maintain cleaner inventory records, improve asset recovery rates, and create a smoother onboarding and offboarding experience.

⭐ Asset Lifecycle & Renewal Tracking

Keeping track of warranty expirations, refresh cycles, and aging equipment can be challenging, especially across growing inventories.

The new Asset Lifecycle Widget helps IT and Operations teams proactively identify assets that require attention before they become a business risk.

What Can You Track?

The new dashboard widget provides visibility into:


🔴 Expired Assets
Assets that have passed their configured lifecycle policy.


🟠 Due for Renewal
Assets approaching expiration based on your organization's renewal threshold.


Assets Missing Data
Assets that cannot be evaluated because critical information is missing.

Each category is clickable and opens a filtered asset list, making it easy to review devices and take action.

Configure Lifecycle Rules Based on Your Policy

Every organization manages asset replacement differently.

You can now define expiration logic per asset category using the data available in your inventory.

The system automatically evaluates assets using:

  1. Warranty End Date

  2. Purchase Date + Lifecycle Period

  3. Created Date + Lifecycle Period (Fallback)

You can also configure how many days before expiration an asset should be flagged for renewal.

Understand Why an Asset Was Flagged

Every lifecycle status includes an explanation tooltip showing:

  • Which information was used

  • Which information was missing

  • Why the asset received its status

This creates full transparency and helps teams understand exactly how expiration dates are calculated.

⌨️ Keyboard Language Tracking for Uploaded Assets

To improve asset traceability and reduce inventory data gaps, keyboard language is now required when uploading:

  • Laptops

  • Keyboards

  • Keyboard & Mouse Combos

This applies whether assets are:

  • Added manually

  • Uploaded via XLS

  • Created through orders

Why We Made This Change?

Accurate keyboard language information is critical for:

  • Asset redeployment

  • Employee assignments

  • Inventory management

  • Warehouse processing

Previously, keyboard layout information was often incomplete or inconsistent.

The new process helps ensure assets arrive at the warehouse with the required specifications already documented.

If the keyboard language is unknown, and the asset is being sent to Dots WH.

The warehouse team will validate the layout before the asset is finalized and returned to inventory, as part of the confirmation process.


🔄 Platform Improvements

Formatted Asset Tracking Improvements

We've improved visibility into formatted (wiped) assets to make it easier to identify devices that are ready for redeployment.

What's New?

New Formatted / Not Formatted Filters

The Assets page now includes dedicated filters allowing you to quickly identify:

  • Formatted assets

  • Not formatted assets

This makes it easier to monitor formatting progress and prepare devices for future deployments.

Direct Access from Formatting Notifications

Formatting completion emails now include a direct link to the relevant asset.

Instead of searching manually, admins can immediately review the asset that was processed and verify its status.

📬Address Confirmation Flow Improvements

We've redesigned the address confirmation experience to improve delivery accuracy and reduce accidental confirmations.


Faster Processing

Address confirmation links now expire after 2 days (previously 3 days).

This helps identify stalled orders sooner and keeps onboarding and delivery workflows moving.

🪙Dots Credits usage expended!

We've expanded the range of products that can deliver using Dots Credits.

Previously, Dots Credits could only be used for a limited set of product categories.

With this update, credits now support nearly all asset types available through Dots, giving you more flexibility when onboarding/delivering equipment for your team domestically.

What's Changing?

You can now use Dots Credits across a much broader range of products, including:

📦 Pickup Confirmation Improvements

We've introduced several improvements to help increase asset return completeness and improve visibility when employee action is required.

Charger & Accessory Return Reminders

Employees now see a reminder during pickup confirmation encouraging them to return:

  • Chargers

  • Power adapters

  • Cables

  • Related accessories

The goal is simple: improve asset completeness and reduce missing accessories during offboarding.

Missing chargers and accessories frequently delay redeployment and increase replacement costs.

These reminders help improve return rates without introducing additional required steps.

Smarter Pickup Follow-Up Notifications

We also improved notifications sent when employees do not respond to pickup confirmation requests.

Updated notifications now provide clearer visibility into:

  • Who has not responded

  • Which order is affected

  • Potential impact on processing timelines

  • When internal follow-up may be required

Why It Matters?

Onboarding, offboarding, and delivery projects can become blocked when employee action is required but not completed.

The updated notifications help ensure orders don't fall through the cracks.

⏩Priority Shipping Improvements

Priority Shipping Available Only for Dots Warehouse Orders!

Priority Shipping is now available exclusively for onboarding and delivery orders fulfilled directly from a Dots warehouse.

Orders involving external pickup locations, suppliers, or third-party fulfillment no longer display the Priority Shipping option.

Why We Made This Change

Priority delivery commitments can only be reliably supported when Dots controls the fulfillment process end-to-end.

This change helps ensure expedited delivery options are only offered when timelines can realistically be met.

Pay for Domestic Priority Shipping Using Dots Credits

Clients can now use Dots Credits for Domestic Priority Shipping orders.

When Priority Shipping is selected:

  • Required credits are clearly displayed

  • Pricing is visible before order submission

🏷️Improved Warehouse Processing & Asset Visibility

We've introduced several enhancements to improve warehouse intake accuracy, increase transparency, and provide better visibility into returned assets.

What's New?

  • Enhanced warehouse confirmation workflows

  • Better tracking of employee-declared items

  • Improved delivery summaries

  • Better asset traceability

  • Visibility into previously untracked assets received by the warehouse

Why It Matters

Employees sometimes return devices or accessories that were never assigned, declared, or tracked in inventory.

These items can create inventory gaps and make reconciliation difficult.

The new process helps ensure every received item is reviewed, tracked, and accounted for.
