Add and Manage a DragonFly Cash Account

Cash Accounts are where your organization's money is securely stored and organized. Every organization gets a 'General Fund' by default.

Schools and associations can create up to 20 cash accounts to organize their funds by sport, team, level, school year, etc.

1. To create a new cash account for your organization, log in to DragonFly on your computer's web browser and select either 'School Funds' or 'Organization Funds' from the left-side menu.

2. Select 'Manage Accounts' at the top of the screen.

3. All of your current cash accounts will be visible under the 'Your DragonFly Cash Accounts' section. Select the 'Add New Account' button in the top-right corner.

4. Select 'DragonFly Cash Account' then the 'Create Account' button.

5. Provide the following information for the new cash account:

  1. Choose an owning organization

  2. Give the cash account a name

  3. Select which roles and/or individuals can view the cash account. By default, Financial Staff, Athletic Directors and Principals will be given permission to view the account. You can remove them by selecting the drop-down arrow.

  4. Choose whether to enable the account as a payment source, meaning you can pay officials and invoices with the account. If so, select 'Yes'

  5. Select which roles and/or individuals can send payments from the account. By default, Financial Staff, Athletic Directors and Principals will be given permission to send payments. You can remove them by selecting the drop-down arrow.

  6. Select the 'Save' button when you've completed all fields.

6. Once you've saved the new cash account, it will be visible in the 'Your DragonFly Cash Accounts' section. If you need to make changes, select the drop-down error, then the 'Edit' or 'Delete' buttons.

10. To view your new cash account, select the 'Accounts' tab at the top of the screen.

11. Select your cash account from the drop-down menu in the top-left corner.

12. Your cash account with its available balance will appear. You will also see a list of transactions and can click on a transaction to view details in the right-side panel, including a link where you can view a PDF receipt.

13. To withdraw money from your cash account, select the 'Withdraw' button. Select whether you would like a bank account transfer or a check. Complete the remaining fields and submit your transfer request. Bank account transfers take 2-3 business days to complete. Check requests take 1-2 weeks, depending on when you submit your request. There is a $50 service fee for check requests, which will be deducted from your cash account.

14. To add money to your cash account (for paying officials/game workers or invoices to your state association), select the 'Transfer Funds' button at the top of the screen. Complete the fields to transfer money from your organization's bank account to your cash account. This ACH transfer will take 2-3 business days to complete.

15. To transfer funds between cash accounts, select the 'Transfer Funds' button at the top of the screen. Complete the fields to transfer funds between cash accounts, which will happen instantly since you're moving money that is already on DragonFly.
