Setting Up and Managing Payroll Calendars

Most PX360 users integrate with Xero during account creation. This is required prior to enabling users for the payroll integration.

Integrating your PX360 account with Xero Payroll Calendars enables you to simplify your labour tracking and staff payroll quickly and easily.

First, make sure you've done the following:

Enabling Users

Once the initial Xero integration has taken place, you will want to set the user up inside of Xero and allow 24 hours for the Xero system to sync to PX360. Alternatively, you can use the manual download to see the updates immediately:

  • From Settings in the left side menu, click the Integration tab.

  • Click the Download Now button to perform the manual sync.

When that is complete, click the User Management tab and either Create or Edit the users inside PX360.

Check the Xero Payroll Integration box on the user details popup, make your selections, and click Submit to save.

Employment Type

Category of employee

  • Employee: on business payroll. This enables timesheets to be exported from PX360 to Xero.

  • Sub-Contractor: hourly rate payments. If exported from PX360 to Xero, an expense invoice is automatically created.

Employee Name

Name of employee.

Note: if the employee does not show on the dropdown, click the Download Employees button to prompt a sync between the two systems and try again.

Earning Rate

Category of earning rate.

Note: if the earning rate does not show on the dropdown, click the Download Earning Rates button to prompt a sync between the two systems and try again.

Overtime Earning Rate

Category of earning rate.

Note: if the earning rate does not show on the dropdown, click the Download Earning Rates button to prompt a sync between the two systems and try again.

Syncing Payroll Calendars

PX360 syncs employees and their Xero payroll calendars every 24 hours. If an immediate sync is needed, head to Settings on the left side menu. Click on the Payroll tab and click the Download Payroll Settings from Xero button.

Click the Status toggle to turn off calendars individually. These calendars will not be synced with Xero until the toggle is clicked again and turned back on. This is particularly useful if using one calendar per staff member instead of one calendar per frequency.
