Overview
Complete checklists in Edify to track daily tasks, record important information like temperatures, and maintain records of completed procedures. Checklists can be completed in one session or saved and returned to later if needed.
Completing a Checklist
How to complete a scheduled checklist
Navigate to Checklists > Complete
Find the checklist you want to complete from today's list
Click the arrow next to the checklist name
Answer each question as prompted
Upload photos if needed (e.g. cleaned equipment, restocked shelves) to provide visual evidence
Click Complete when all mandatory tasks are finished
💡 Saving your progress: If you need to stop partway through, click Save and Back. The checklist will be marked as started and you can return to finish it later.
How to complete an on-demand checklist
On-demand checklists don't appear in the Complete tab automatically—you need to launch them manually:
Navigate to Checklists > Complete
Click Start On Demand Checklist in the top right
Select the checklist you want to complete from the dropdown
Complete the tasks and click Complete
What Happens After Completion
Same day: Completed checklists move to the Completed Today section where you can review and edit them if needed.
End of day: At midnight, completed checklists are archived and move to the History tab where they can be viewed but no longer edited.
Editing a Completed Checklist
You can only edit checklists on the same day they were completed:
Find the checklist in the Completed Today section
Click the eye icon to open it
Make your changes
Save
⚠️ Important: Once a checklist moves to History, it cannot be edited.
Overdue Checklists
If a checklist isn't completed on its scheduled day or within its required time window, it moves to the Overdue section at the top of the page. You can still complete overdue checklists—they'll be recorded with the date you actually completed them.
Notification of Completed Checklists
If during the checklist setup a specific user has been set to be notified when a checklist is completed, once a checklist is completed, the user will receive an email notification.
This email will notify you:
Checklist name
Who completed the checklist
The date and time of completion
The site
Click "Review Checklist" to be taken to the completed checklist.
The user will also see a notification next to 'Checklists' in the menu when there are completed checklists ready for them to review.
Within the 'Checklist History' page the status 'Pending Review' will be assigned for any checklists the user needs to review.
Downloading Completed Checklists
Export checklist data for your records or reporting:
Navigate to Checklists > History
Click Download in the top right
Set your date range using either Due Date or Completed Date
Optional: Filter by specific checklists, sites, or users
Click Download
Checklists are exported as a CSV/ZIP file containing all responses and completion data.
