Production Request Dashboard

Information about and instructions for using the Production Request dashboard.

Introduction

This dashboard is mission control for all of your production requests. From this page, you can:

  • Request new content or updates to existing content through the Production Request form.

  • Track the status of all production requests in progress with us

  • Review draft resources

  • Approve unpublished resources

Accessing the Dashboard

Access the Production Requests dashboard by clicking "Production Requests" in the left-hand navigation in the My Library section.

Filtering the Display

This display can be filtered using three facets:

  • Owners - The Owner is the team or unit where the request originated. All content in your institution's Elemeno library has a single owner.

  • Approver - Approvers are site managers with the authority to review and approve Elemeno resources for publication.

  • Status

Status Labels

  • Submitted - A production request has been submitted for this content.

  • Cancelled - This request has been cancelled/withdrawn.

  • In Planning - This request has been viewed by your Content Solution Designer (CSD) and and details are being added to the request so that it can be added to our production backlog.

  • In Production - This request is actively being built.

  • Ready for Review - This content is ready for you to review and approve.

  • In Post-Production - If you have provided feedback on a draft, that draft goes back into production so that the feedback can be integrated. After the updates are made, it will go back into Ready for Review for you to review again.

  • Approved - This content has been Approved by you, and will be published by your CSD shortly.

  • Published - This content is live in your library. Users can discover it via search and it can be promoted using Elemeno promotion features.

  • Archived - This content no longer live on your site. Archived content can be republished if needed again later.

Important Considerations

  • Titles in the list may change from when you submit them. Our guidance to you on the production request form is to suggest a title. During the design and production process, this title may get updated to align with our style guide.

  • Updates to existing content can not be reviewed in this interface. Your CSD will send you a special preview link for these.

  • Forms may appear on this list, but can not be reviewed via the review pane. Your CSD will send you a special preview link for these.

  • Complex builds may not be sent for review via this dashboard. Contact your CSD if you feel that something is missing.

Reviewing Content

When content is ready for you to review, the Status will display as Ready For Review, and a button labeled Review will appear. When you click the Review button, the Review Pane will open.

Reviewing Individual Resources

In the review pane, review the draft of the resource by scrolling down the page. On the right-hand side of the panel, you may see notes from your CSD.

Approving Resources

If the resource is ready to be published, click Approve. Your CSD will be notified, and the resource will be published shortly.

Requesting Revisions

If you have feedback on the draft and would like revisions made to it, click "Request Revisions." Add comments in the Request Revisions window and click "Send Request." Your CSD will receive this information and will process the revisions. You will be notified when there is a revised draft for you to review.

If your revisions are minor, and you feel that the resource is complete once those revisions have been made (read: you don't feel that you need to review it again), please include this information in your revision note. Your CSD will then go ahead and make the revisions and get the resource published.

Sample copy: "Once you have removed the misspelled word, this is approved and should be published. I do not need to review this again."

If you feel that the resource needs significant revisions, please reach out to your CSD directly to schedule a time to discuss the resource. A one-to-one discussion can be more efficient than back-and-forth messaging.

Reviewing Resource Guides

Resource Guides are collections of links to individual resources, forms and external links. Depending on the size of the collection and the timeline for your project, your CSD may have you review some parts before the entire Resource Guide is complete.

Navigating Resource Guides in the Review Pane

The review pane is optimized to help you navigate the Resource Guide as a whole as well as the individual resources.

To review the individual Resources in a Resource Guide, click on the hyperlinked titles. The items requiring review will have the "Needs Review" tag on them.

To return to the Guide from an individual resource preview, use the back arrow in the upper right-hand corner of the display.

Approving Resource Guides

Because Resource Guides are collections of many items, there are times when the entire guide can be approved at once, and other times when some parts may be ready for approval while others need revisions.

To approve the entire Guide: click on the Approve All button on the Resource Guide display. This means that you feel that all of the contents of this Guide are ready to be published.

To approve individual parts of a Resource Guide: click into the individual resources and click "Approve." If an individual resource is not ready for approval and needs revisions, click "Request Revisions" and follow the steps above for individual resources.

Important Considerations

  • Some Resource Guides are complex. For example, a Resource Guide may be a collection of Resource Guides. In this case, your CSD may send you a special preview link to use to review the content. The review pane is not optimized for this level of complexity.

  • Some Resource Guides contain a combination of resources, forms and external links. Forms and external links will not open in the preview pane but will open in new browser tabs. If you have feedback on these pieces of content, please include that feedback in the Request Revisions panel for the entire Resource Guide.
