Dashboard creation and sharing

Learn how to create, share and copy dashboards to other users.

Create a Dashboard

There are several ways to create a new dashboard, depending on the type of dashboard you're creating:

  • Standard User Dashboards can be created in three ways:

    • When looking at a Dashboard, within the toolbar click Tools > Create Dashboard

    • From the Dashboards menu, click Create Dashboard

    • From the Dashboard grid view (Dashboards > View All Dashboards) click New within the toolbar

  • System Dashboards are created within the System Dashboards screen (Reports > System Dashboards). From the toolbar click Create System Dashboard.

  • Hiring Manager Dashboards are created within the Hiring Manager Dashboards screen (Reports > Hiring Manager Dashboards). From the toolbar click Create Hiring Manager Dashboard

  • Employee Dashboards are created within the Employee Dashboards screen (Reports > Employee Dashboards). From the toolbar click Create Employee Dashboard

Dashboard Settings

Having clicked the Create button, you'll now be looking at the settings page for your new dashboard.

  • Title - This is the name of the dashboard and will show within the dashboard menu. Ensure this is clear and concise, so that you know exactly for what the dashboard is used.

  • Description - this is where you can describe what this dashboard is designed to show. You can also use this space to outline who the dashboard has been shared with, if you wish.

  • Editors - Here you can chose to share the dashboard any other core system users, allowing them to make any changes or updates to the widgets accordingly. Please note that any user listed as an editor will also be able to delete the dashboard, so allocate editors wisely!

  • Share With - If you want to grant access to any specific users, but prevent them from making changes (or deleting!), then you can allocate them here. This will mean they can see the dashboard but wont be able to update or change any of the widgets.

  • Also Share With - This is where you can configure a filtered list of users to share this dashboard with, which is great if the dashboards need to be shared with any users of a certain role or business area. By creating a filter, any new users who are added to the system and meet the criteria, they will automatically get access when they log in.

  • Layout Options - Here you can set the structure of the dashboard and determine the layout of any widgets added. You can change this at any time without losing any widgets, so feel free to experiment with different layouts to suit the needs of the dashboard and the data. Ranging from 4 columns through to full page width, the layout will determine the size of your widgets, so keep this in mind if adding different types of charts or graphs.

When you're ready, click Save.

πŸ“Œ Note not all of the above items are available in all dashboard types. Editors and Also Share With are are only shown when creating a Standard User Dashboard. Additionally, when creating a Standard User Dashboard, the Share With option displays a list of all Core System Users, whereas, for Hiring Manager and Employee dashboards, this option uses the Advanced Filter.


Copy and Share a Dashboard

This section relates to Standard User dashboards only.

There are two main ways to distribute a Dashboard to other Core System Users - Copy it or Share it.

Copy Dashboard

Copying a Dashboard gives the selected user their own, personal version of the dashboard, giving them free reign to change the dashboard however they see fit.


To copy a dashboard, first view the Dashboard, then open the Tools menu from within the Toolbar and click Copy Dashboard.

Select the Users you'd like to copy the dashboard to and click Continue.

πŸ€“ Tip you can access the Copy Dashboard menu from the Dashboards Grid View as well. From the menu, go to Dashboards > View All Dashboards. Locate the dashboard you'd like to copy then right-click on it and click Copy Dashboard.

Share Dashboard

When sharing a dashboard, you're giving multiple users access to the same dashboard, rather than giving them their own version.

To do this you'll need to edit the dashboard you'd like to share. When viewing a dashboard click Tools > Edit Dashboard or, from the dashboards grid view, right-click on the dashboard and select Edit.

Share with Editors

To make a user an Editor, open the Editors drop down list, select the users to share with and click Save.

⚠️ Important making users Editors will allow them to make any change they like to the dashboard, including deleting it. The changes are immediate and will affect all users who have access to this dashboard.

Share as Read-Only

To share the dashboard with specific users, open the Share With drop down. Select the users to share the dashboard with and click Save.

To share dashboards with groups of users, look to the Also Share With section and click Edit Filter. This will open the Advanced Filter. From here you can add fields to your filter and create a custom share list. Having added your fields click Save.

πŸ€“ Tip to share a dashboard with all Core System users, both current and future, open the advanced filter and click Add Field > User Type > Has > Standard. This is a great way of ensuring that any new users who join the business have access to the same dashboards as existing users.


Dashboards menu, grid view and Starred Dashboards

Dashboards menu

The Dashboards menu displays both all Dashboards you have visited and any dashboards you have marked as a favourite (starred).

When first logging into Eploy this menu will be empty. To access any Dashboards that have been shared with you click View All Dashboards.

Starred Dashboards

Starred Dashboards are displayed first, with all other dashboards listed within the Recent section.

To star a dashboard, simply click the star next to its name. This will add that dashboard to the Starred section.

To specify the order of your starred dashboards, click the Reorder button then drag and drop your starred dashboards into your preferred order.

Recent Dashboards

The Recent section displays any non-starred dashboards you have accessed in chronological order - most recent at the top.

This list is dynamic and will change as you visit each dashboard.

Dashboard Grid View

To open the Dashboard grid view, open the Dashboards menu and click View All Dashboards.

The grid view displays a list of all Dashboards that you have access to - both those you have created and those which have been shared with or copied to you.

From the grid view you can:

  • Star a dashboard

  • View a Dashboard (by clicking its name)

  • Set a dashboard as a default

  • Via the right-click menu:

    • Edit a Dashboard

    • Copy a dashboard

    • Export a dashboard to Excel

    • Print a Dashboard

πŸ€“ Tip if you're brand new to Eploy you won't have a default dashboard. When you first log in, open the grid view and pick a default dashboard. If you're a member of the Recruitment or TA team, we'd recommend setting Recruitment Driver as your default (if available). If you're responsible for onboarding, set Onboarding Management as your default (again, if available). If you're not sure which Dashboard to set as a default, speak with your line manager.
