Simple and Dynamic Filters

Simple Filters

Sometimes, you just need to quickly and easily apply a filter to help you manage records - whether it is quickly finding a certain user so you can reset their password or all candidates who use a certain email provider, the simple Filters are the best way to do it.

The Filter can be found on the toolbar, when looking at any record grid across the system.

Clicking this option will then open in a pop-up window, so make sure you have allowed for pop-ups when working within Eploy.

Once the filter has opened, you will find all the basic fields that relate to the type of record you are looking at. For example, clicking Filter when within Candidates, you will be able to filter on basic candidate information such as name, email address and phone number. Meanwhile, Filter within Vacancies will give you access to vacancy specific fields, such as Title, Job Descriptions or positions available.

Hints and Tips

Wildcards

When using these filter options, identify the field you need and enter the value that you are looking for i.e. to find candidates with a specific email address, you can type the email address into the appropriate field for an exactly match. However, if you aren't sure of the full address or simply want to identify all those with a particular domain, you can use wildcards as part of the search to find records that contain the value you are searching for.

Adding an asterisk (*) before and after the value you enter will allow you find any records that contain the word or phrase. For example, searching for *@gmail* will return all candidates who have any type of gmail email address.

You can use wildcards on any free text fields to find partial matches.

Filter Options

At the bottom of each filter window you'll find a series of options that will give you greater control over how your filter is applied.

Inverse

When using the simple filter, it's often easier to find all the records that you don't want, rather than the ones you do. In these cases, you can use the Inverse filter to quickly locate records that don't match your filter criteria.

For example, if you want to find all Vacancies that you haven't been assigned to, access the Vacancy grid and click Filter. Set the Users field to yourself, then toggle the To select the inverse of your query click here option. Once applied, Eploy will display all Vacancies where you are not selected as a User.

Replace, Narrow and Add

As a default, all filters are set to Replace the current list. This will clear any previous filters results and apply your new filter.

If you wish to filter within an existing set of results, select the Narrow List option. For example, if you have clicked on a dashboard widget, the results displayed will be based on the filter set within the Metric. To further refine these results using the simple filter, select the Narrow List option.

Finally, the expand your filter results, use Add search results to list. This will effectively conduct a fresh filter of your chosen record type and add the results to whatever filter has already been applied.

Removing Filters

Having applied a filter, the results of that filter will remain in place until replaced by the results of a new filter. For example, if you access the Vacancies grid from a Dashboard widget, then return to the Vacancies grid via View > Vacancies > All Vacancies, the same set of results will be displayed.

There are two ways to remove a filter:

  • Hover your mouse over the Filter button within the toolbar and select Remove Filter or Remove Last Filter

  • Click the Filter button to open the filter window and click Remove Filter or Remove Last Filter

Remove Filter will remove all filters applied, returning the grid to its default view (i.e. showing all records of that type).

Remove Last Filter will remove the last filter that was applied. This option is really useful if you're attempting to refine a list of records and want to undo your previous filter.


Dynamic Filters

Dynamic, or in page Filters, are designed to allow you to quickly tweak or change the records that you can view, allowing you to quickly switch between records of a certain type or status. This is ideal for managing applications of different workflow stages, especially when screening or reviewing applications.

In key areas of the system, such as the Dashboards or Recruitment Pipeline and Tab views, dynamic filters allow you to quickly include or exclude records, based on certain criteria.

Dashboard Filters

All dashboards within the Core System include the following filter options:

  • Users - Use this option to filter all widgets by the selected Core System (Standard) Users

  • Organisations - Use this option to filter your Dashboard by Organisation. This option is really useful if you have a single reporting dashboard for the whole organisation and want to focus on a specific part of your business without creating a new Dashboard.

  • Vacancies - Use this option to filter your Dashboard by one or more Vacancies

  • Date - Use this option to apply a date filter to your whole dashboard. This filter option includes several pre-defined date ranges, but also includes the ability to select a specific date range

πŸ€“ Tip Dynamic Filters are applied within any existing filters applied to your Metrics and Widgets. For example, if a widget is set to display results for This Year and you set a dashboard date filter to Last Year, no results will be displayed within that widget.

Date filters also include a Use Financial Periods toggle. As a default, the financial period for all Eploy systems is set to January to December. If your reporting period is different (e.g. April to March), please contact the Support Team who can amend this for you.

Workflow Filters

Within the workflow, you can use dynamic filters to filter on:

  • Candidate Type - use the drop down list and select to include Previous Employees, Agency, External or Internal Candidates

  • Contacted State - This helps to identify if any applicants require to be contacted at their current stage, or if there are any emails that have been scheduled.

  • Suitability - If you are using the 5 star suitability ratings, this dynamic filter allows you to quickly identify records with each star rating.

  • Status Type - This allows you to show applications which are active or terminated.

  • Status - This filter allows you to identify candidates at each status of your recruitment workflow.

When using any of the dynamic filters, you can easily click multiple options as required then watch the pipeline automatically update.
